
Property and Inventory Control Assistant - SSO Supply Chain Mgmt.

Overview
This position is responsible for assisting Accounting and Supply Chain Management with maintaining control over the Health System's capital equipment and sale or disposal of obsolete goods as per state laws and regulations.
Responsibilities
This position reports directly to the Health System Assistant Director, Materials Management
Affix RFID property tags on newly purchased equipment at various locations as needed
Perform physical Inventories of Capital Equipment on a biannual basis with "Spot-check" or "Repeat Inventories" as required
Assists departments as required with completion of electronic Property Control Request Forms for equipment that is no longer useable by the existing department or can no longer be located
Assists departments on the procedures of equipment removal from their department and transferred to the property warehouse for disposal when no longer needed or operational. The information is then updated in Banner to reflect any change of disposition
Assists departments in acquiring items from the Property Warehouse for use in their department
Advises Health System staff on Property policies and procedures to ensure compliance with state laws and regulations
Compiles data and prepares various monthly, quarterly, and annual reports to include a surplus sales/tracking, and analysis report
Oversees and coordinates surplus property sales to include following guidelines prescribed by state law, execute surplus sales on a continual basis using the GovDeals online marketplace
Arranges for recycling companies to remove items to be recycled including but not limited to monitors, printers, fax machines, etc
Separates items that cannot be sold or recycled and coordinates with the USA Moving Services Department to remove items as required
Arranges/segregates items and equipment in the Property Warehouse as required
Assists and meets with customers during surplus sales as requiredGenerates Bills of Sale for any vehicles sold in our surplus sales
Completes Vehicle Deletion forms and return the Alabama State Tag to the Department of Motor Vehicles to remove from their system
Processes Property Control Forms for Surplus Sales (update information, such as sale date, lot number and disposal proceeds and update Banner as required
Assists internal and external auditors as needed
Maintains the official USA Vehicle Roster. As vehicles are sold, transferred or purchased the vehicle roster is updated to reflect each change and mailed out to different departments that have a need for the information
Maintain an electronic filing system with titles and Bill of Sale for each vehicle
Various other duties including but not limited to customer support, maintaining office supplies, filing, phone support, scheduling appointments, coordinating visits, etc., as assigned
Completes all mandatory department, educational, and hospital requirements
Adheres to current Infection Control and Safety StandardsRegular and prompt attendance
Ability to work schedule as defined and overtime as required
Related duties as assigned
Additional Information
Employees must be in a regular position, working 20 hours or more per week (.50 FTE or greater) to qualify for benefits.
Qualifications
High School Diploma or equivalent and 2 years of experience in property, or warehouse/inventory Control, procurement, or directly related experience Required
Preferred Bachelor's Degree from an accredited institution as approved and accepted by the University of South Alabama will substitute for the required experience.
