Cardiology Scheduling Specialist
Baystate Health, a nationally recognized leader in healthcare quality and safety, and home to Baystate Medical Practices, the largest multispecialty group in the region is looking for a full-time Cardiology Scheduling Specialist to join our experienced Cardiology team in Northampton, MA.
Responsibilities:
Baystate Health, Cardiology Scheduling Specialist plays a critical role in ensuring seamless operations across the cardiology service line. This position is responsible for managing daily scheduling activities, optimizing provider schedules, and supporting efficient patient flow.
Oversee daily scheduling system operations to ensure accuracy, efficiency, and optimal patient flow
Monitor clinic schedules and produce/distribute daily schedules
Coordinate all aspects of case scheduling, including:
Medical clearances
Interpreter services
Equipment needs
Accurate procedure booking
Anticipate scheduling conflicts and proactively resolve issues
Schedule Management & Reporting
Manage and monitor daily schedule inputs and patient volumes
Generate and analyze reports to track volume, utilization, and scheduling accuracy
Perform daily quality checks and implement corrective actions as needed
Support reconciliation and optimization of scheduling systems and workflows
Block Scheduling & Optimization
Build and maintain provider block schedules
Partner with Access, Registration, and physician offices to maximize schedule utilization
Evaluate block usage and release unused time to improve access
Develop reporting tools to monitor performance and drive efficiency
Leadership & Team Support
Serve as a resource and role model within the team
Support contact center scheduling needs
Assist with cross-coverage and departmental workload as needed
Demonstrate flexibility in scheduling to meet operational demands
Schedule:
Full-time, 40 hours a week, Monday through Friday
8:00am-4:30pm
NO weekends, NO holidays

Qualifications:
High School diploma or GED
At least 3 years of customer service experience
35 years of experience in a Patient Service Representative (PSR) or similar role
Strong computer skills and ability to navigate multiple systems
Strong organizational skills with exceptional attention to detail
Ability to multitask and manage complex workflows
Excellent interpersonal and communication skills
Analytical thinking and problem-solving ability
Self-motivated with the ability to work independently and as part of a team
High level of professionalism, flexibility, and emotional intelligence
