Position Summary:
The Administrative Specialist II is responsible for researching and preparing special reports, examining and verifying documents, and performing general office duties. This position is governed by state and federal laws and institution policy.
Duties & Responsibilities:
Handling Incoming Calls
Answer incoming calls promptly and professionally.
Identify caller needs and route calls to the appropriate department or person.
Screen and prioritize calls when necessary.
Take and relay accurate messages.
Operating Telephone Systems
Operate multi-line phone system.
Transfer, forward, and hold calls efficiently.
Monitor and manage multiple calls simultaneously.
Providing Information
Provide basic information about the organization (hours, location, services).
Assist callers with general inquiries.
Train student workers hired to support switchboard operations, ensuring they understand procedures and customer service expectations.
Customer Service
Maintain a polite, calm, and professional tone.
Handle complaints or difficult callers appropriately (if needed, request help).
Ensure positive first impressions of the organization.
Administrative Support
Serve as the first point of contact for the University
Maintain and update internal directories and contact lists
Assist with clerical duties (filing, data entry, email handling)
Submit work orders as needed.
Route and manage work order emails received from the Helpdesk and support@astate.edu
Monitor and manage all incoming IT Services faxes received via the assigned A-State email account.
Order and maintain office supplies/break room supplies for the IT Services Department.
Retrieve departmental mail daily from the ASU Mail Center ensure timely and appropriate distribution
Coordinate with internal departments as necessary to support operations.
ITS Building Security
The individual in the Administrative Specialist II position is responsible for opening the facility by unlocking the front entrance at 8:00 a.m. and ensuring the building is secured by locking the front door at 5:00 p.m. each business day.
All visitors to the IT Services building are required to present a valid ID and sign in at the front desk upon arrival.
The employee being visited must come to the front desk to personally escort the visitor into the building.
When new housekeeping staff are hired, the designated individual is responsible for ensuring that all such employees are CJIS certified.
Broadcast announcements if needed.

Minimum Qualifications:
The formal education equivalent of a High School Diploma.
One (1) years of experience in a specialized or related area applicable to work performed.
Other job related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee.
