Description
The Automotive Support Specialist provides administrative and operational support for both Goodwill's internal fleet operations and external customers utilizing Goodwill Auto Services. This role plays a critical part in ensuring efficient fleet tracking and maintenance, while also delivering accurate billing, parts coordination, and customer support for outside clients. The position requires strong organizational skills and the ability to balance internal operational needs with external service delivery.
Internal Fleet Management & Maintenance
Maintain accurate and up-to-date records for all internal fleet vehicles, including mileage, service history, and usage.
Track and coordinate routine, preventative, and corrective maintenance schedules to ensure fleet reliability and safety.
Work closely with technicians to prioritize and complete internal service needs.
Prepare, process, and track invoices for services provided internally.
Monitor compliance requirements such as registrations, inspections, and insurance documentation.
External Customer Service & Billing
Serve as a primary administrative support contact for external customers utilizing Auto Services.
Prepare, process, and track invoices for services provided to external customers, ensuring accuracy and timeliness.
Maintain detailed service and billing records for all external work.
Respond to customer inquiries regarding services, estimates, invoices, and timelines.
Coordinate with accounting to reconcile payments and address any billing discrepancies.
Parts & Inventory Coordination (Internal & External)
Track parts orders for both internal fleet repairs and external customer jobs.
Coordinate with vendors to ensure timely ordering and delivery of parts.
Maintain inventory records and assist with stock management.
Ensure parts are properly allocated to the correct internal vehicle or external customer job.
Vehicle Sales Support
Assist with preparing vehicles for sale, including coordinating necessary repairs, inspections, and detailing.
Support the listing of vehicles for sale across appropriate platforms.
Maintain accurate records of vehicles available for sale and sales status.
Provide basic information and support to customers interested in purchasing vehicles.
Administrative & Operational Support
Maintain organized systems for fleet records, customer service documentation, billing, and inventory.
Generate reports related to fleet performance, service activity, and customer work.
Support compliance with organizational policies, safety standards, and regulatory requirements.
Assist the Auto Services team in balancing internal fleet priorities with external customer service demands.
Qualifications
Education & Experience
High school diploma required; associate degree or relevant certification preferred
2+ years of administrative, operations, or coordination experience (fleet, automotive, facilities, or logistics environment preferred)
Ability to manage and prioritize both internal operational needs and external customer requests.
High attention to detail, especially in billing and recordkeeping.
Proficiency in Microsoft Office and database systems.
Strong communication and customer service skills.
