Job Summary
An Engineering Document Controller manages the organization, control, distribution, and archiving of technical documents and drawings throughout the project lifecycle to ensure accuracy, version control, compliance with standards, and efficient access to information for project stakeholders.

Key Responsibilities
Document Management: Receive, review, log, store, distribute, and archive engineering documents including drawings, specifications, technical reports, vendor data, RFIs (Requests for Information), submittals, transmittals, and revision records.
Version Control & Revision Tracking: Ensure only the latest approved versions are in circulation; track changes, revisions, approvals, and maintain a master document register (MDR) with full audit trails.
Quality Checks: Perform quality assurance on incoming documents for completeness, accuracy, proper numbering, formatting, and compliance with project/client standards before distribution.
Distribution & Workflow: Manage controlled distribution of documents to internal teams, contractors, vendors, and clients via transmittals or workflows; monitor approval cycles and follow-ups.
System Administration: Maintain and use Electronic Document Management Systems (EDMS) for indexing, retrieval, and reporting.
Archiving & Retrieval: Organize secure long-term archiving (electronic and sometimes physical) and facilitate quick retrieval of historical records.
Support Project Teams: Assist engineers and project managers with document-related queries, training on procedures, and coordination across disciplines.
Reporting: Generate status reports on document progress, overdue items, and key metrics.

Required Skills and Qualifications
Applicant Must be a United States Citizen.
Education :
Diploma or Bachelor’s degree in Engineering, Business Administration, Information Management, Project Management, or a related field (preferred; role can accept relevant experience instead).
Experience :
2–5+ years in document control, preferably in engineering, construction, or project-based environments.
Experience with technical drawings and engineering terminology is a strong advantage.
Technical Skills:
Proficiency in Microsoft Office (especially Excel for registers and reports).
Knowledge of document numbering systems, revision processes, and standards (e.g., ISO 9001).
Ability to read and understand basic engineering drawings is often beneficial.
Soft Skills:
Exceptional attention to detail and organizational skills.
Strong communication and interpersonal abilities (interacting with multidisciplinary teams).
Time management and ability to handle multiple projects under deadlines.
Problem-solving and a process-oriented mindset.
