Maintain accurate and up-to-date project information within internal project management systems
Develop and oversee detailed project timelines to ensure on-time delivery across all milestones
Lead internal and external meetings, including kickoff, pre-detail, pre-ship, pre-show, and post-show reviews
Collaborate cross-functionally with design, engineering, production, and account teams to ensure feasibility and alignment with client expectations
Create and manage purchase orders for vendors and oversee procurement of all required project components
Issue and track change orders, ensuring clear communication and proper documentation of scope changes
Coordinate closely with production and warehouse teams to support fabrication, staging, and shipping logistics
Partner with field installation and dismantle (I&D) teams to ensure seamless execution on-site, including being available for real-time troubleshooting as needed
Oversee post-project wrap-up, including damage/loss reporting and coordination with accounting to reconcile costs and finalize billing

Qualifications & Experience
3–5+ years of project management experience within trade shows, events, or a related industry (design-build, millwork, signage, displays, construction)
Experience managing moderately sized projects and budgets, with strong attention to detail and cost control
Ability to read and interpret technical drawings (CAD) and understand construction methods and materials
Proven ability to manage multiple projects simultaneously in a high-pressure, deadline-driven environment
Strong communication, organizational, and problem-solving skills with a proactive, solutions-oriented mindset
Demonstrated sense of urgency and responsiveness across all stages of a project lifecycle
Proficiency in Microsoft Office Suite and general project management software
