Position Summary
We are seeking a highly motivated Payroll Administrator specializing in US Payroll Tax to support federal and multi-state tax compliance, reporting, and planning activities. This role is responsible for managing payroll tax filings, reconciliations, audits, and year-end processes using systems such as SAP, ADP GlobalView, and UKG Pro.
The position also partners closely with Payroll, HR, and external vendors to ensure accurate tax handling, regulatory compliance, and timely implementation of legislative updates. Additionally, this role may support broader HR service delivery initiatives including reporting, compliance, and employee transaction services.
Key Responsibilities
Payroll Tax Compliance & Reporting
Manage payroll tax reconciliations, reporting, and approvals of payroll runs, including funding for tax remittances
Balance, reconcile, and approve filings including 941, 940, W-2, W-2c, 499W2, 499W2c, and amended returns
Prepare weekly cash flow reports to support payroll and tax funding
Maintain payroll tax data and generate reports as needed
System & Process Management
Manage Power of Attorney (POA) forms and tax authority setups across SAP, ADP GlobalView, and agencies
Monitor and reconcile local tax setups to ensure correct jurisdiction codes
Support wage type setup and validation for proper income and tax reporting
Conduct user acceptance testing (UAT) for payroll tax system updates and changes
Regulatory Compliance & Audits
Manage quarterly payroll tax processes, including filings and corrections for the US and Puerto Rico
Support and manage payroll tax audits, including documentation, reporting, and remediation of findings
Stay current on federal and multi-state payroll tax regulations and ensure timely system updates
Tax Planning & Special Projects
Provide payroll tax expertise for new legislation implementation and compliance
Support mergers, acquisitions, and divestitures from a payroll tax perspective
Manage complex tax scenarios such as expatriate and relocation tax processes
Identify and resolve retroactive tax issues and ensure proper adjustments
Collaboration & Communication
Partner with Payroll leadership, HR Service Center, and external vendors to ensure accurate payroll tax operations
Provide year-end tax communications to employees (e.g., federal withholding and FICA updates)
Support payroll audits, validations, and compliance initiatives with leadership
Qualifications
Education
Bachelor's degree in Human Resources, Business Administration, or related field
CPA and/or advanced degree preferred
Experience
3–5 years of payroll administration experience preferred
3–5 years of payroll tax and/or financial reporting experience preferred
Experience with financial reporting requirements; SEC experience is a plus
Skills & Competencies
Strong knowledge of payroll tax regulations and compliance requirements
Experience with end-to-end payroll processes and GL reconciliation
Proficiency working with payroll and HRIS systems
High attention to detail and ability to handle confidential information
Strong analytical, problem-solving, and organizational skills
Effective communication skills with ability to interact across all levels
Ability to work independently and manage multiple priorities in time-sensitive environments
Experience working with third-party payroll vendors and cross-functional teams
