Purpose Statement
The job of Spirit Store Clerk is to research and acquire the necessary materials for the Spirit Stores; perform storekeeper functions related to receiving, pricing, and stocking of inventory; provide documentation for audit trail of decision making and meet required bidding regulations.

Essential Functions

Directs/trains student workers, primarily Marketing class students (e.g., computer use, record keeping, handling money, stocking, creating displays, etc.) for the purpose of providing an effective school program and addressing the needs of individual students.

Maintains contracts and vendor files to ensure ongoing availability of goods/services in conformance with contract terms and conditions.

Maintains documents, files and records (e.g., purchase orders, correspondence, etc.) to provide an up-to-date reference and audit trail for compliance.

Maintains product and materials inventory, including conducting and/or requesting physical counts to provide supporting documentation as required by district, state, and federal policies and regulations.

Manages Spirit Store operations (e.g., receiving, issuing, collecting, and performing inventories, etc.) to ensure availability of supplies and materials and controlling related expenses.

Negotiates with vendors and service providers to ensure purchases are within district requirements.

Orders food items, supplies and sundries to ensure availability of items for sale at Spirit Store locations.

Prepares daily cash deposit and related reports to comply with district policies relating to money handling.

Processes documents and materials (e.g., orders and requisitions for supplies; credit memos, etc.) to conform with district fiscal policies that relate to Spirit Store operation.

Researches discrepancies of financial information and/or documentation (e.g., purchase orders, invoices, packing slips, etc.) to ensure accuracy and adherence to established guidelines prior to processing for action.

Other Functions

Assists other personnel as required to support them in completing their work activities.

Travels to meet with vendors for product selection and pick‑up.

Maintains and updates the store web page.

Mental Requirements

Learning Development - Level B : Sufficient to read and write technical information and instructions, perform basic arithmetic calculations, understand commonly used procedures and methods, or operate equipment that requires some training. Equivalent to completion of a high school curriculum.

Problem Solving - Level 1 : Work situations are routine and regularly recurring, requiring attention and concentration, but limited discretion, consideration, and planning to adequately respond and carry out work activities.

Physical Requirements

Physical Skill - Level A : Basic level of learned physical skill is required. No special coordination beyond normal mobility and handling of everyday objects and materials is needed to perform the job satisfactorily.

Physical Effort - Level 2 : Job requires light physical effort as part of the regular work routine, such as frequent standing and walking; frequent lifting, guiding, and/or carrying of light‑weight materials or equipment; occasional periods of sustained effort.

Human Relations Skill - Level A : Job requires ordinary conversational skills and courtesy to exchange routine information, provide routine assistance, and/or help maintain harmony among work associates.

Scope of Contacts - Level 1 : The important job contacts are with peers in the immediate work group and immediate supervisor. Occasional contact with individuals outside the organization may occur.

Performance Environment - Level A : Changes in environments, work pressure, disturbances of work flow, and irregularities in work schedule are infrequent.

Physical Working Conditions - Level 2 : Somewhat disagreeable conditions. Work may be performed in cramped or awkward positions. Occasional exposure to safety hazards, disease, or contamination results in chances for lost‑time accidents. Occasional exposure to noise, temperature extremes, etc.

Level of Accountability - Leader A : Responsibility for carrying out detailed work orders, performing under direct and frequent supervision, and learning job related information and techniques.

Experience, Education, and Certifications

Job related experience is desired.

Education:

High School diploma or equivalent.

Certifications/Clearances:

Must possess a valid Arizona DPS Level One IVP Fingerprint Clearance Card while employed.
