Administrative Assistant – Behavioral Health Services
Hourly Pay Range: $20.08 – $30.13
Hybrid Role: At Least Two (2) Days in Office per Week

Job Summary: The Administrative Assistant will provide ongoing support to the Comprehensive Community Services (CCS) team, as well as the CCS care coordination and ancillary providers. Additionally, the position will support access to the program, billing/fiscal reporting, as well as quality and compliance efforts related to state of Wisconsin reporting requirements for the CCS program.
Responsibilities
Answer the CCS referral line inquiries for consumers with mental health and/or substance use disorders; screen with eligibility requirements and mail out the directory. Connect the consumer with Community Access to Recover Services (CARS) clinical staff as needed. This will also include management of the CCS phone log.
Assist with projects across CCS that are related to quality assurance and compliance with CCS requirements.
Assist with ensuring timely review of all error correction requests and maintenance in the electronic medical record (EMR).
Provide oversight and maintenance of all record keeping that is pertinent to the CCS Division of Quality Assurance (DQA) survey. This includes management of staff rosters, collection of supervision logs, and assistance with monitoring completion of training requirements review in HealthStream.
Assist with reviewing pre‑payment fiscal reports regularly to ensure quality and accuracy with what is billed to Medicaid.
Complete the discharge process in Avatar and follow checklist for thorough completion of all discharge related tasks.
Assist with running reports that will ensure compliance with county, state DHS 36, and Medicaid requirements.
Work closely with CCS Integrated Service Coordinators to maintain the provider directory and keep it accurate in real time.
Perform all other duties as assigned.
Qualifications
Current resident of Wisconsin.
Possession of a High School Diploma or GED equivalent.
At least one (1) year of Behavioral Health experience.
Proficient with Microsoft Applications such as Word and Excel.
Willing and able to travel within the community up to 5% of the time in this role.
Preferred Qualifications
Associate’s degree or higher in Human Services or a related field.
