Job Description
The Office Assistant provides high‑level administrative and clerical support for the Academic Success Center (formerly known as Learning Center). This role serves as the first point of contact for students, faculty, staff, and visitors, ensuring excellent customer service through in‑person, phone, and email interactions. The Office Assistant supports a wide range of office functions, including finance, student services, and daily operations, to ensure the Academic Success Center operates efficiently. The role also contributes to a welcoming, student‑centered environment that supports academic achievement and student success.
Duties include:
Preparing, proofreading, and distributing a variety of documents and correspondence
Performing data entry, maintaining databases, and running reports
Establishing and organizing files and records
Assisting with finance processes such as purchase requisitions, invoice processing, budget tracking, maintaining financial logs, monitoring office expenditures, and preparing budget summaries
Scheduling appointments and meetings, arranging rooms and technology needs
Greeting and directing visitors, responding to inquiries, and providing general information
Collaborating with the Office of Communications to ensure bulletin boards, digital signage, and other outreach materials are current and appropriately distributed
Reporting building and technology issues to the building manager or IT
Assisting with event logistics for workshops and trainings
Supporting continuous improvement of office systems and workflows
Performing other duties as assigned.
Employees of Harford Community College, including instructors for online and virtual courses, must be residents of Maryland or the contiguous states of Delaware, Pennsylvania, Virginia, West Virginia, or the District of Columbia; non‑residents are expected to relocate to meet this requirement.

Required Education
A high school diploma or GED.
Required Experience
At least two (2) years of experience working in an administrative and/or office support role.
Required Knowledge, Skills & Abilities
Proficiency in a Windows‑based environment, including Microsoft Office 365 (Outlook, Word, PowerPoint) and intermediate Excel skills (e.g., data filtering, and basic analysis)
Experience with electronic document and signature platforms, such as Adobe Sign
Strong front‑line customer service skills with the ability to respond professionally to in‑person, phone, and email inquiries.
Demonstrated ability to work effectively with diverse student populations.
Excellent verbal and written communication skills, with the ability to clearly explain processes and requirements to students, families, faculty, and staff.
Strong organizational skills with the ability to provide administrative support, manage competing priorities, and assist with event planning and coordination.
Attention to detail and problem‑solving skills to support finance processes, recordkeeping, and workflow improvement.
Ability to collaborate with Communications, Finance, and other campus partners to ensure consistent and effective operations.
Preferred Qualifications
Experience using Banner or other Student Information System or large database; and experience with Argos or other reporting program are preferred.
Hours per Week
20 hours per week
General Weekly Work Schedule
Must be available 5 days per week (Monday through Friday); final work schedule to be determined by the supervisor.
