Job Description Summary
The Administrative Assistant provides general administrative and clerical support to the Office of the Chaplain staff and Religious Life Professionals. Under the supervision of the Office Manager, the Administrative Assistant supports day-to-day activities of the Office of the Chaplain and Religious Life Professionals.

Job Description

Essential Functions

Assists with clerical and administrative support including but not limited to processing of incoming and outgoing materials, data entry, filing, copying, mailings, preparing agendas, and taking notes/minutes.

At the direction of the Office Manager, tracks, orders, and maintains office materials and supplies for chaplaincy staff and Religious Life Professionals.

Assists with administration of Chaplain’s Emergency Fund including but not limited to serving initial point of contact, application and disbursement processes, and relevant record-keeping; generating notes of recognition for contributions to the Chaplain’s Emergency Fund.

Provides Workday task and clerical support to chaplaincy staff and Religious Life Professionals, including but not limited to expensing transactions, requesting disbursements, creating updated financial reports and statements, and human resources tasks.

Supports Office Manager and University Chaplain in onboarding new staff or Religious Life Professionals, including collecting relevant documents, Workday processes, and arranging orientation activities.

Provides administrative support to University Chaplain and other staff.

Assists organizing departmental and sponsored events and supports extradepartmental or University needs, as required.

Schedules travel for chaplaincy staff including but not limited to airline reservations, car rentals, and hotel reservations, as needed.

Supports routine communications tasks including website management, newsletter, and social media.

Required Education, Knowledge, Skills, Abilities

Associate’s degree from an accredited college or university.

One or more years of office management or related experience or an equivalent combination of education and experience.

One or more years of experience with Google Workspace platform.

One or more years of experience in financial recordkeeping.

Preferred Education, Knowledge, Skills, Abilities

Bachelor’s degree from an accredited college or university.

Two or more years of office management or related experience or an equivalent combination of education and experience.

Two or more years of experience in budget management, event planning, or related experience.

Two or more years of experience with Google Workspace, Workday, and/or Microsoft Office.

Proficiency in the use of social media platforms.
