Temporary Shared Services Coordinator - Kansas City (Hybrid)

The Shared Services Coordinator is responsible for the initial input and validation of all new Charges/ADLs/Complaints into the LCS System, based on information provided.

This is a hybrid role located in Kansas City, MO.

This position is initially structured as a 3‑month temporary assignment, with the possibility of extension or conversion to a permanent role; however, neither is guaranteed.

Responsibilities

Responsible for the initial input and validation of all new Charges/ADLs/Complaints into the LCS System, based on information provided.

Responsible for reviewing and sorting daily incoming mail, faxes and emails including dismissals, RFI's, and litigation file transfers to outside counsel as well as receiving and reviewing Client documents; coordinate the uploading of Client documents for each matter to the appropriate Client extranet folder.

Responsible for finalizing correspondence, i.e., responses to the administrative agencies, and representation letters. Performs quality audits prior to timely agency submission.

Responsible for performing general clerical duties for attorneys and agencies including but not limited to client electronic and paper filing, photocopying, faxing, scanning, preparing USPS and Federal Express packages, and other similar duties.

Responsible for processing updates to Firm systems based on changes in charge status; including but not limited to deadlines or extensions, phase updates based on attorney submissions, and internal journal notes based on the gathering and evaluating of information from correspondences, attorney requests, agency requests, or other related sources.

Responsible for reviewing tax documents associated with settled LCS matters to ensure all documents are in compliance; effectively communicating non‑compliance issues with responsible attorney; submitting settlement check requests to Client; mailing final settlement checks, via Federal Express; and accurately updating the LCS System.

Responsible for assisting the litigation team with staging and unitizing documents for upload into Relativity. Assist litigation team and support needs and act as a liaison with outside vendor. Scan, review, index and code documents in appropriate litigation support folders. Responsible for Bates labeling.

Responsible for composing and distributing professional correspondence and memoranda via e-mail or fax (internal attorneys), through individual initiative and on an as assigned basis while maintaining a highly organized electronic and paper filing system in accordance with Firm and Client requirements; files correspondence and other documents or records into the Firm’s electronic library.

Qualifications

Demonstrated ability to organize and prioritize numerous tasks and complete them under time constraints.

Demonstrated ability to work within multiple client computer system environments simultaneously.

Interpersonal skills necessary in order to communicate and follow the instruction effectively from a diverse group of Client attorneys and staff and provide information with ordinary courtesy and tact.

Demonstrated ability to proofread typed material for grammatical, typographical and spelling errors.

Demonstrated ability to operate standard office equipment, including personal computer, copier, typewriter, facsimile, telephone and scanner.

Demonstrated proficiency with Microsoft Word, Microsoft Excel, web‑based programs/applications, and web‑based research tools.

Education & Certifications

High School Diploma or equivalent is required.

Experience Required

A minimum of 3-5 years working in a professional setting is required.

Legal, Case Clerk or Paralegal experience is preferred.
