Job Overview

The CMDB Administrator is responsible for managing and maintaining the Configuration Management Database (CMDB) in ServiceNow which includes HAM, SAM and Certificate Management to ensure accuracy, integrity, and reliability of configuration data. This role supports IT Service Management (ITSM) processes such as Incident, Problem, Change, and Asset Management, and plays a critical part in enabling visibility and control across IT infrastructure and services.
Key Responsibilities

CMDB Maintenance & Governance
Maintain the CMDB by ensuring all Configuration Items (CIs) are accurately identified, documented, and updated.
Implement and enforce CMDB policies, processes, and procedures to maintain data integrity and compliance with ITIL standards.
Perform regular audits and health checks to identify and resolve discrepancies, duplicates, and inconsistencies.
Configuration Item (CI) Management
Define and maintain CI types, classes, and attributes based on organizational requirements.
Establish and manage relationships between CIs to accurately represent dependencies and configurations.
Certification Process Management
Notify CI Owners/Custodians about certification tasks, including reminders and escalation when necessary.
Review CI attributes for accuracy, make updates, or request new data for corrections.
Confirm certification completion (pass/fail) and resolve failed or incomplete certifications through follow-up and data updates.
Integration & Automation
Configure and optimize ServiceNow Discovery and Service Mapping to populate and synchronize CI data.
Integrate CMDB with other IT systems (e.g., monitoring tools, asset management systems) for automated data exchange.
Develop scripts and workflows for automated CI updates.
Reporting & Analysis
Generate and distribute reports on CMDB health, compliance, and performance metrics.
Provide insights and recommendations to improve configuration management processes.
Collaboration & Support
Work closely with IT operations, service desk, change management, and asset management teams.
Provide training and support to stakeholders on CMDB usage and best practices.
Hardware Asset Management
Document and publish the Hardware Asset Management process in alignment with ITIL and organizational standards.
Review Key Performance Indicators (KPIs) to evaluate process efficiency and take corrective actions as needed.
Ensure compliance with HAM policies, standards, and audit requirements.
Conduct periodic audits and maintain accurate documentation for governance and regulatory purposes.
Asset Lifecycle Management
Software Asset Management
Manage and maintain the entire software asset lifecycle in accordance with the organization's SAM process.
Review Key Performance Indicators (KPIs) to evaluate process efficiency and take corrective actions as needed.
Maintain accurate records in the Asset Management Database, including software licenses, models, and associated details.
Conduct periodic audits and maintain accurate documentation for governance and regulatory purposes.
Certificate Management
Oversee the entire lifecycle of certificates, including issuance, renewal, revocation, and expiration tracking.
Maintain an accurate inventory of all certificates across environments (production and non-production) in ServiceNow or designated repository.
Ensure certificates are linked to associated assets such as servers, applications, and devices for traceability.
Implement automated alerts and renewal tasks in ServiceNow for certificates nearing expiration (e.g., 90, 60, 30, and 7 days before expiry).
Continuously optimize monitoring tools and processes to prevent service disruptions caused by certificate failures.
Required Skills & Qualifications

Technical Expertise:
Strong knowledge of ServiceNow CMDB, ITOM Visibility, Discovery, and Service Mapping.
Familiarity with ITIL framework and configuration management principles.
Experience with integrations using SOAP/REST APIs.
Analytical & Problem‑Solving Skills:
Ability to analyze data quality issues and implement corrective actions.
Proficiency in reporting tools (e.g., ServiceNow Performance Analytics, Power BI).

Pay and Benefits

The pay range for this position is $50.00 - $80.00/hr.
