Job Summary
Performs routine administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.
Essential Functions
Prepares and disseminates information concerning agency programs and services; responds to inquiries regarding rules, regulations, policies, and procedures; and assists in the development of administrative and technical assistance policies and procedures.
Prepares, edits, and distributes correspondence, reports, studies, forms, and other documents; performs complex typing; assists in researching, composing, designing, and editing agency documents; and maintains filing and record keeping systems.
Performs criminal information searches and retrieval using Texas Department of Public Safety criminal history system access.
Organizes, assigns, and reviews the work of others; and assists in training and providing technical assistance to others.
Performs a variety of marginal duties not listed, to be determined and assigned as needed.
Minimum Qualifications
Education, Experience, and Training:
Graduation from an accredited senior high school or equivalent or GED.
Six months full‑time, wage‑earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours of college credit may substitute for each six months of experience.
Computer operations experience preferred.
Must obtain a certificate of completion for Texas Law Enforcement Telecommunications System training within six months of employment.
Knowledge and Skills:
Knowledge of office practices and procedures.
Knowledge of agency and departmental structure, policies, procedures, rules, and regulations preferred.
Clear and concise communication skills.
Coordination skills with other staff, departments, officials, agencies, organizations, and the public.
Ability to interpret and apply rules, regulations, policies, and procedures.
Problem‑solving techniques.
Computer and network usage skills.
Proficiency in Microsoft Office Suite or equivalent.
Record, file, and report maintenance skills.
Work planning skills.
Electronic communication skills.
Supervisory review skills.
Typing 45 WPM with no more than 10 errors preferred.
Additional Requirements
Physical requirements: ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry 15-44 lbs., perceive depth, operate motor vehicle, and operate motor equipment.
Work conditions include working inside, around machines with moving parts, radiant and electrical energy, closely with others, alone, protracted or irregular hours, and travel by car, van, bus, and airplane.
Equipment: computer and related equipment, calculator, copier, fax machine, telephone, dolly, and automobile.
