COMPENSATION & LOCATION
The compensation starts at $70,000. This a hybrid position based out of our Elk Grove Village, Illinois location requires 2-3 days in office. Travel to other locations may occur, although minimal.
POSITION SUMMARY
The Payroll, Benefits & Leave Operations Specialist owns the execution, accuracy, and day‑to‑day operational management of payroll, benefits, and leave of absence administration, ensuring employees are paid accurately and on time while maintaining strong financial controls and compliance. This role operates as a shared services function supporting both People Operations and Finance, with a primary focus on transactional excellence, vendor coordination, data integrity, and risk reduction. Operating in a multi‑state, regulated environment, this role partners closely with Finance, HR leadership, ADP, benefits brokers, and third‑party administrators to manage payroll, benefits, and leave processes end‑to‑end. In addition, this role serves as a primary operational point of contact for employee pay, benefits, and leave inquiries and provides designated onsite operational coverage during scheduled absences, ensuring continuity without disrupting HR leadership or program ownership. This role is intentionally execution‑focused and designed to scale as payroll and benefits operations mature, with the potential to transition to Finance ownership in the future. Policy decisions, employee relations, and program design remain with HR leadership.
ESSENTIAL JOB DUTIES
Payroll Operations & Financial Controls (35–40%)
Own end‑to‑end payroll processing for all employee populations, including regular, off‑cycle, retroactive, and final payrolls
Ensure payroll is processed accurately, timely, and in compliance with federal, state, and local regulations
Own payroll tax registrations, filings, remittances, and agency correspondence in partnership with ADP
Manage wage garnishments, deductions, and payroll adjustments
Perform payroll reconciliations, variance analysis, and audits to ensure data integrity and financial accuracy
Serve as the primary operational contact with ADP for payroll configuration, issue resolution, and system updates
Support internal and external payroll audits and provide documentation and reporting as required
Benefits Administration & Vendor Management (20–25%)
Own day‑to‑day administration of employee benefits programs, including eligibility, enrollments, life events, and terminations
Execute operational aspects of open enrollment, including timelines, system setup, vendor coordination, and post‑enrollment audits
Maintain accurate benefits deductions and perform regular carrier and billing reconciliations
Serve as the primary operational contact with benefits brokers, carriers, COBRA administrators, and related vendors
Coordinate benefits data feeds and resolve discrepancies between HRIS, payroll, and vendor systems
Respond to employee inquiries related to benefits coverage, deductions, and enrollment logistics
Leave of Absence Administration & Compliance (10–15%)
Own the operational administration of employee leaves of absence, including FMLA, state leave programs, short‑term disability, and company‑provided leaves
Serve as the primary operational point of contact for leave of absence vendors and third‑party administrators, including intake coordination, documentation tracking, and status updates
Ensure accurate and timely payroll and benefits adjustments related to leave events, including pay coordination, deductions, and return‑to‑work processing
Maintain accurate leave records, tracking key dates, notices, and required documentation to support compliance
Respond to employee questions related to leave processes and payroll or benefits impacts, escalating eligibility determinations or policy interpretation to HR leadership as needed
Partner with HR leadership to support audits, reporting, and compliance reviews related to leave administration
Payroll, Benefits & Leave Service Delivery (10–15%)
Serve as the first point of contact for employee inquiries related to payroll, pay accuracy, benefits administration, and leave processes
Own intake, triage, and resolution of transactional payroll, benefits, and leave requests, escalating policy or exception decisions to HR leadership
Provide clear, timely communication to employees regarding payroll timing, corrections, benefits deductions, and leave‑related impacts
Maintain documentation, job aids, and FAQs related to payroll, benefits, and leave procedures
Onsite Operational Coverage & Continuity (10–15%)
Serve as designated onsite operational backup during front desk coverage gaps, including breaks and PTO coverage
Support visitor check‑in, badge coordination, and HR‑related onsite logistics
Manage payroll‑, benefits‑, and leave‑related mail, notices, and secure deliveries
Coordinate with Facilities, IT, and Security to ensure continuity of people‑related onsite operations
Support Day 1 onsite logistics for new hires related to payroll and benefits setup
Operational Reporting & Process Support (5–10%)
Maintain payroll, benefits, and leave operational calendars, deadlines, and compliance checkpoints
Prepare and maintain standard payroll, benefits, and leave reports for HR and Finance stakeholders
Maintain HRIS data accuracy for payroll, benefits, and leave‑related employee records, including effective dating and status changes
Partner with HR and Finance leadership on process improvements, automation, and risk mitigation initiatives
Support documentation and maintenance of payroll, benefits, and leave SOPs
Other duties and responsibilities as required.

Required Experience, Knowledge & Training
Bachelor’s degree in Business Administration, Accounting, Human Resources, or related field (or equivalent experience)
5–8+ years of experience in payroll, benefits, and/or HR or Finance operations roles
Demonstrated experience managing payroll, benefits, and leave administration in a multi‑state environment
Strong understanding of payroll regulations, wage and hour laws, and benefits and leave administration requirements
Hands‑on experience with HRIS and payroll systems; ADP Workforce Now strongly preferred
Experience coordinating with third‑party administrators, brokers, and external vendors
High attention to detail with strong reconciliation, audit, and documentation skills
Comfort working in a highly transactional, deadline‑driven environment
Strong customer service orientation with the ability to communicate clearly and professionally with employees
Ability to partner effectively with HR and Finance stakeholders
Work Environment & Travel Requirements
Onsite role with opportunity to work hybrid 2–3 days per week
