
Administrative Operations Coordinator

Reporting to the Administrative Operations & Organizational Development, the Coordinator for Administrative Operations is a key operational support for Stamp. The position is embedded in the Administrative Operations team, which comprises various functions including HR, payroll, strategic planning, training/development, and business/finance staff, and works on projects and initiatives related to these functional areas. This position works independently, under general guidance, and must be able to make decisions and use independent judgment.
Core Duties
Conduct full oversight of payroll, timekeeping, and onboarding logistics for all staff and new hires in Stamp (approximately 100 full-time, 30 graduate students, and 400 undergraduate students) using Workday.
Act as the primary contact for onboarding affiliates and manage their status with Stamp vendors to resolve staffing or building-related issues.
Serve as the primary HR representative for Stamp in meetings with UHR and advise the Assistant and Associate Directors on operational needs based on staffing issues and pending HR changes.
Troubleshoot Workday issues and accommodation needs for Stamp staff as they arise.
Oversee parking logistics (codes, assignments, department reps, etc.) for Stamp and Stamp Administrative Offices.
Serve on departmental committees related to an HR function or as requested.
Act as a conduit of information/communication between Stamp and other campus units, such as the Office of the Vice President, departments of the Division of Student Affairs, and the Department of Transportation Services, and update all internal and external websites and dashboards regularly.
Support general administrative operations of Stamp.
Provide administrative support to searches within Stamp, including communication, scheduling, job fair, and travel support.
Hire, train, and supervise front desk Human Resource Assistant student employees and their work in the STAMP administrative offices.
Perform other duties as assigned.
Preferred Qualifications
Strong attention to detail; ability to connect systems and processes to understand the bigger picture; ability to work independently; Workday and/or HR experience; ability to learn and adapt to new technologies and systems.
Minimum Qualifications
Education: Bachelor’s degree from an accredited college or university.
Experience: One (1) year of professional secretarial, clerical, coordinator, or administrative experience.
Additional experience as defined above may be substituted for up to four (4) years of the required education on a year-for-year basis.
Knowledge, Skills, & Abilities
Knowledge of clerical and administrative procedures and systems such as filing and record‑keeping.
Skill in oral and written communication.
Skill in the use of Microsoft Office products.
Ability to multitask and prioritize assignments.
Physical demands: Work takes place in both an office environment and in on‑campus buildings; will require the ability to travel throughout campus. There may be occasions when the incumbent will need to work outside their normal shift to accommodate other shifts in the organization for meetings, training, etc.
Salary Range: 64,000-70,000
