Responsibilities
The Administrative Associate is responsible for performing administrative functions for the department and serving as the assistant to the Department Chair. You will be responsible for assisting the department Chair with faculty relations and reporting activities to include Assignments of Responsibility (AORs), FACET reporting, Promotion & Tenure (P&T), Annual Evaluations, Post Tenure Review, and Instructor Credentialing. You will also serve as the facilities liaison for the department.
Providing administrative support to the Chair and department. You will be responsible for updating, tracking, and maintaining documents for the Chair. You will also be managing the Chair’s calendar, scheduling meetings, and will act as a liaison between the Chair, faculty and students.
Assisting department Chair with faculty relations and reporting activities to include Assignments of Responsibility (AORs), FACET reporting, Promotion & Tenure (P&T), Annual Evaluations, Post Tenure Review, and Instructor Credentialing. Acting as a liaison between the department and Faculty Development and Advancement (FDA) to oversee the P&T processes and timelines.
Assisting the Department Chair and hiring committee chairs with faculty recruitment by organizing schedules/agenda for campus visits and contacting the Dean’s Office to schedule meetings.
Greeting visitors and screening main office calls. Directing students, faculty, staff, and visitors to the appropriate offices.
Department shipping/mailing, receiving and distributing packages, postal mail, Library Express Delivery Service (LEDS) books, etc.
Serving as the facilities liaison for the department. You will also order keys and maintain building keys information.
Responsible for coordinating all departmental events including the annual department awards ceremony, Graduate Student Open House, staff luncheons and retirement parties.
Maintaining department signage/bulletin boards and upkeep of labor law posters.
Maintaining faculty and staff mail rooms along with upkeep of copy and fax machines, maintenance and repair, and maintaining supplies for common use.
Serving as a backup Purchasing Card (P-card) holder.
Qualifications
High school diploma and three years of experience. Post high‑school education and/or experience may substitute at a comparable rate.
Preferred Qualifications
Effective oral and written communication skills and experience, establishing and maintaining effective working relationships.
Experience demonstrating effective customer service skills and maintaining accurate records from active or archive sources.
Experience performing accurately in a detail‑oriented environment and performing assigned responsibilities with minimal to moderate supervision.
Proficiency with common office software (e.g., Word, Excel, PowerPoint, Outlook, Teams, Zoom) and the ability to quickly learn other programs.
Ability to prioritize and multitask projects of various types and importance.
