
Scheduling Systems Specialist

This position is open to current York Technical College Employees and current employees of the SCTCS college system.
Responsibilities
Schedule Intake and Submission Coordination - Receive approved course offering submissions and authorized schedule change requests from academic departments and WED program managers through established intake methods, and track items to completion using standardized logs. Confirm submissions include required information and appropriate authorization prior to processing, communicate status using standard office guidance, and return incomplete or unauthorized items for correction.
Schedule Entry, Validation, and Maintenance - Enter and update schedule information in the scheduling system exactly as approved, including term, dates, meeting patterns, times, modality, and location, and maintain accurate records to support schedule publication cycles. Verify that entries meet documented standards for completeness and format, maintain traceable documentation of updates, and route academic conflicts, exception requests, or decision items through designated escalation channels without independently granting exceptions.
Schedule Cycle Support, Reporting, and Data Checks - Generate routine scheduling and room utilization reports using established formats to support internal review and operational planning. Complete assigned checks to ensure consistency between the scheduling system and the student information system, verify results using standard reports or checklists, and report discrepancies through defined channels. Maintain logs or trackers to monitor progress toward schedule cycle deadlines and completion.
Scheduling Operations, Events, and Catalog Support - Coordinate academic event scheduling as assigned, ensuring event details are entered accurately, communicated appropriately, and maintained in accordance with established procedures and timelines. Support course catalog maintenance as assigned by preparing, updating, and routing catalog revision documentation through established review and approval processes, maintaining version control, and completing records. Cross-cover centralized scheduling office functions as assigned and participate in training and documentation updates that strengthen standardized workflows.
Other Duties as Assigned - Perform other duties as assigned to support the Office of Academic Scheduling & Planning.
Qualifications
High school diploma or equivalent and at least two years of administrative experience requiring data entry accuracy, documentation control, and deadline informed coordination.
