Administrative Assistant III, 8.0 hrs/day (1.0 FTE), Full Time, Permanent

Position Summary
Provides overall office management of a school, or a major school activity, either individually or through coordination of additional clerical staff. Roles include but are not limited to school secretary, fiscal clerk, special projects and events manager, registrar, and associated fiscal clerk. Responsibilities include secretarial support, front office management, budget, purchasing, human resources and payroll duties, student registration, enrollment and records, health room support, and liaison communication. Activities vary across elementary, middle, and high school.

Compensation
Initial wage placement according to NCSD/OSEA Collective Bargaining Agreement.

Retirement Plan Contributions
The district participates in the Oregon Public Employee Retirement System (PERS and OPSRP). The district covers the employer portion; employees contribute 6% after working at least six months and 600 hours in a calendar year.

7:00 a.m. - 3:30 p.m.; subject to change depending on department need.

Minimum Qualifications

Associates Degree in a business-related field and three (3) years of progressively responsible office experience or equivalent training and experience.

Three (3) years of progressively responsible office experience should involve independence of action and decision making responsibilities. Experience in a school setting considered higher value. Fiscal and bookkeeping responsibilities require accounting and bookkeeping procedures.

Advanced clerical skills, including word‑processing and filing; keyboarding skills of at least 40 words per minute; at least one (1) year of experience with internet‑based software and systems.

Knowledge of general secretarial procedures, excellent grammar and proofing skills, and ability to maintain accurate and reliable records and data.

Ability to work effectively with frequent interruptions, concentrating and producing accurate work while responding to changing priorities.

Ability to interact with students, parents, staff, and community members in a warm and confident manner.

Initiative and ability to work with minimal direction; sound judgment and decision‑making capabilities essential.

Ability to maintain confidentiality of all school and personnel matters.

Demonstrate sensitivity to cultural, ethnic, gender, and religious diversity of students, staff, parents, and community.

Major Duties and Responsibilities (depending on specific assignment)

Secretarial Support: Provides secretarial support to the principal and other administrative staff, maintains appointment calendar, schedules meetings, formats and types correspondence, tracks and files staff evaluation forms, memoranda, and reports, duplicates and distributes materials, makes travel arrangements, and may attend building meetings to record and transcribe minutes.

Front Office Management: Greets students, parents, staff, and visitors, answers telephone, receives and distributes mail, manages office supplies and equipment, maintains school calendar of events, oversees two‑way radio and intercom system, and provides direction to office and volunteer staff.

School Budget and Fiscal Records: Sets up and maintains building and department budget, purchasing records, receives money for fees, prepares bank deposits, trial balances, financial statements, and reconciles district credit cards.

Special Projects & Research: Undertakes special projects at the request of the school administrator, coordinates events such as graduation, showcase, scholarship night, parent conferences, open house, and volunteer appreciation.

Scheduling and Enrollment Support: Assists counselors and administration in designing the master class schedule, distributes class registration packets, processes enrollment information, reviews conflicts, and maintains data throughout the school year.

Student Registration: Leads and participates in registration of new students, ensuring all paperwork and data entry is completed and all required information is filed.

Human Resources: Assists with processing new employees, requisitions, contracts, volunteer applications, background checks, onboarding, badge setup, email accounts, training records, and confidentiality of supervisory working files.

Risk Management: Ensures completion of incident reports, participates in the Safety Committee, and assists with accident analysis.

Systems Contact: Supports staff in understanding all district systems and provides website support for school newsletters, bus routes, events, and orientations.

Back‑up Assistant Secretaries: Able to perform registrar, attendance, and bookkeeping duties.

Health Room: Manages health room duties, including medication administration, First Aid, concussion protocols, blood management, and maintains immunization records; maintain current First Aid/CPR certification.

Discipline/Student Supervision: Serves as a buffer when the principal is unavailable; knowledge of behavior plans necessary.

Transportation: Coordinates field trip requests, pick‑up, bus routes, and shuttle arrangements.

Other duties as assigned by building administrator and/or designee.
