Position Summary
Acuren is currently seeking an Administrative Assistant to support operations in Longview, TX. This 100% onsite role requires significant complex or supervisory program support work, high autonomy, and responsibility to ensure support activities meet the company's needs.

Responsibilities

Administrative and program support: oversee meeting scheduling, mail/faxes, proofreading and editing correspondence, and provide information on administrative processes (travel, expenses, benefits, training).

Coordinate purchase of office supplies, courier services, office equipment repair and maintenance, telephone issues, and facility‑related needs.

Coordinating facility management issues such as building access, electrical and mechanical, office renovations, and furniture moves.

Provide and coordinate support to program areas: implement effective office practices, schedule, track, and upload training documentation, ensure accurate data entry into program databases, prepare and remit monthly metrics reports, accruals, invoicing, accounting, and productivity reports, and respond to customer and employee inquiries.

Accounting support: analyze DTR information, receive and ensure legal review of purchase orders, assist with AR collection and requisitions/AP invoices, and enter and review weekly time reports and expenses.

Provide supervision to support staff: plan, assign, and evaluate work; provide training; set performance goals; complete progress reviews and annual appraisals; ensure administrative and support services are provided to the program area.

Other work duties as assigned.

Requirements

Knowledge and skills: extensive knowledge of program specialty area and related practices; understanding of business impact; fluency in company software applications (Microsoft Office, SQL, Concur, MAS500, CMD, Quickbase, E‑Requester); thorough understanding of collective agreement terms.

Skills: highly developed interpersonal and communication skills; problem solving; organization, prioritization, and coordination; compliance with Occupational Health and Safety Acts/Regulations and Acuren Safety and Quality Management Systems.

Education: post‑secondary diploma with 3–5 years of related experience.
