Human Resources and Business Operations Coordinator

Position Summary

This position reports to the Head of Libraries Human Resources and provides comprehensive administrative support for human resources and financial operations within the Libraries. The role supports hiring and onboarding, payroll and position funding, purchasing, reimbursements, and related processes. Working closely with members of library leadership and administration, the position helps ensure smooth personnel actions, accurate financial transactions, and efficient day-to-day operations.
Responsibilities

Manage Accounts Receivable process, issuing invoices, and tracking aging reports.
Oversee credit card, check, and cash transactions for the libraries.
Handle purchasing related to business cards, vehicle rentals, Print & Design, supply, and service requests for libraries copiers.
Coordinate staff and faculty onboarding process by coordinating with managers, processing relocation reimbursements, ad hoc salary requests, supplemental pay, dual appointments, and other support activities.
Support faculty and staff search processes by posting job ads and managing interview logistics, including lodging, meals, transportation, and reimbursement.
Assist with tours, meetings, and transport during interview days.
Prepare OneUSG Connect transactions for personnel changes, review and reconcile monthly payroll.
Support the HR Specialist reviewing timecards, unfunded positions, position funding, and retro requests; follow up on approvals to ensure biweekly payroll accuracy.
Assist faculty and staff with inquiries regarding travel and use of HR and financial systems.
Enter and maintain financial and administrative data for the libraries' business office systems.
Support daily operations by ensuring shared equipment, spaces, and supplies are ready for use, fully stocked, and maintained.
Carry out related duties that support administrative priorities as needed.
Support student employment processes by assisting the HR Specialist with reporting, communications, and tracking of various workflows.
Minimum Qualifications

High school diploma or equivalent and 2 years of related experience.
Preferred Qualifications

Two or more years of experience working in an office environment.
Knowledge, Skills, Abilities and Competencies

Understanding of HR and business processes, including hiring, onboarding, payroll, position funding, timekeeping, employment classifications, and compliance requirements.
Ability to manage financial transactions accurately and adhere to fiscal policies and deadlines.
Clear, professional communication with faculty, staff, candidates, new hires, vendors, and leadership.
Skill in using enterprise systems for data entry, processing, reporting, and troubleshooting.
Capacity to coordinate multiple processes simultaneously and meet deadlines.
Identify issues, propose solutions, and adjust priorities in a dynamic administrative environment.
