Admin 1 (Warehouse Administrator)
The Admin 1 (Warehouse Administrator) plays a critical role in ensuring the smooth and efficient administrative flow of goods and information throughout the warehouse and yard. You will be the primary link between physical operations, documentation, and various support teams (e.g., Transportation and Inventory). This position requires a detail-oriented, collaborative, and analytical individual to manage logistics documentation, coordinate yard movements, and provide essential administrative support.
Your primary focus is high-accuracy data entry, document management, and logistics coordination:
Gate in and out all incoming (truckload, LTL, shuttle) and outgoing shipments, including all returns shipments.
Physically check in and out all trailers entering/exiting the yard, logging essential status details (trailer number, seal number, etc.).
Plan and communicate trailer movements within the yard to switchers, dock managers, and transportation planners.
Complete daily yard checks and reconcile them with yard inventory records.
Schedule appointments for all incoming and outgoing shipments.
Arrive and/or dispatch loads into warehouse, transportation, and yard management systems.
Close out trailers in a timely manner to meet cut times.
Ensure completion and proper filing of all required paperwork and documentation (e.g., manifests, bills of lading).
Process returns items, including data entry and system updates.
Perform extensive and accurate data entry, audit processed items, and resolve data discrepancies to maintain inventory accuracy.
Construct meaningful, actionable reports (e.g., updating UPH forecast daily).
Provide general office support, including purchasing and managing the inventory of supplies for the warehouse.
Oversee the invoicing for maintenance and utilities weekly/monthly.
Communicate effectively with various internal teams and external partners (carriers, drivers).
Flex to support operational needs in the process path, as required.
High School diploma or equivalent.
Knowledge in Microsoft Office and Excel is essential.
Proven ability to perform extensive and accurate data entry.
Ability to solve practical problems by thinking analytically and creatively.
Ability to multitask and prioritize tasks frequently.
Service and warehousing/fulfillment experience is preferred.
Excellent relationship building, negotiation, and communication skills.
Ability to read, analyze, and interpret complex documents in English (e.g., safety rules, operating instructions, and procedure manuals).
Ability to deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to alternate between sitting, standing, and walking throughout the shift.
Ability to work in both an office environment and a warehouse environment (near machinery, in non-climate-controlled conditions).
Lifting up to 75 lbs. unassisted is required, though infrequent (less than half shift).
