Maintenance Office Assistant
The Maintenance Office Assistant is responsible to assist the Maintenance foremen, process clerical jobs and communications, and maintain contractor records and Payroll records.
Provide Clerical Support
Answer the main Maintenance Office phone line and answer questions or transfer calls appropriately. Update and post the Personnel Out list. Track time worked by Maintenance on various projects/events. Prepare and distribute information for new department staff and GAs when they begin work. Assist with maintaining Safety Data Sheets for the Maintenance department.
Maintain Contractor Records
Gather outside contractor insurance records. Ensure proper insurance is on file for all active and upcoming projects and contracts. Update contractor contact information in Maximo.
Maintain Payroll Records
Maintain payroll records and verify time for employees on Workday for Maintenance department and Maintenance Office.
Maintain Communications
Post Outage and Closure Notifications as relates to power outages, water off, fire alarm and fire sprinkler testing, and closed areas due to Maintenance work. Create and reply to Sunshine Dig Requests.

Required Education: HS
Preferred Education: College Degree - Office Systems
