JOB SUMMARY:
Under minimal supervision, this position assists with administrative, student support, financial, and general office support for the Division of Nursing. Collaborates on initiatives to promote nursing programs and works with college staff, community, and hospital partners for the College. Coordinates office functions, manages data and reports, assists with event planning, and serves as a key point of contact for internal and external communications relating to student support, recruitment, and completion.
SPECIFIC DUTIES AND RESPONSIBILITIES:
Support the Dean with the daily operations of the School of Nursing, including composing letters, preparation of accreditation documentation, filing, faxing, and document preparation.
Receive, screen, and reroute incoming telephone calls and concerns from faculty, staff, administration, and students and responding professionally and appropriately by college policy.
Works with others to promote nursing programs; assists students relating to program inquiries, application processing, registering, and program completion; coordinates and participates in major recruiting events as they relate to nursing.
Create research and reports using Microsoft Access, Excel, Word, and PowerPoint, develop databases regarding student enrollment, student retention, completion, and job placement for the division.
Arrange and attend meetings, prepare and distribute related agendas and minutes.
Monitor certification/recertification for the division faculty, create files, and organize paperwork for signatures.
Generate requisitions for supplies, assist in monitoring budget to ensure funds are available; submit faculty and adjunct pay; reconcile purchase card purchases, receipts, and expenditures.
Build course schedules, make room reservations, and collect required semester-related documentation such as door schedules, syllabi, student rosters, and course grades.
Maintain accurate records; monitor and complete reports for enrollment, retention, and completion; prior learning assessments, industry certifications; clinical placement; accreditation and regulatory reporting; and works collaboratively with staff to support degree completion through degree audit reviews, student monitoring and tracking, and similar strategies.
Completes all other duties and responsibilities as assigned.
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:
Associate's degree; two (2) years of related work experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Knowledge of IRSC Nursing Department programs, including Baccalaureate, Associate Degree, Practical Nursing, and Nursing Assistant.
Skill in working with Microsoft Office, including Excel, Access, and Windows-based applications.
Skill in organizing, prioritizing, time management, solving problems, and using resources effectively.
Ability to make decisions, collaborate with others, work independently, multi-task, and be self-motivated.
Valid drivers license;
Works Monday through Friday (8am5pm), Summer Hours: Monday through Thursday (7am-5:30pm) with some additional evening or weekend hours as needed.
PHYSICAL DEMANDS:
This position classifies the physical exertion requirements as light work involving lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. Even though the weight lifted may be very little, a job is in this category when it requires a good deal of walking or standing or when it involves sitting most of the time with some pushing and pulling of arm or leg controls. To be considered capable of performing a full or wide range of light work, you must have the ability to do all of these activities. If someone can do light work, we determine that he or she can also do sedentary work, unless there are additional limiting factors such as loss of fine dexterity or inability to sit for long periods of time.
