JOB SUMMARY
The

College Readiness Coordinator – Media Aide

leads the development and implementation of a comprehensive college and career readiness program, supporting all high school students in their postsecondary planning for college, the workforce, and military pathways. In this multifaceted role, the Coordinator provides individualized student advising on admissions, financial aid, and scholarships, while also recruiting, training, and supervising adult ASPIRE volunteer advisors who offer one‑on‑one student mentoring. Additionally, this role oversees the school's media center operations, including device and textbook management.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties of this position include the following. Employees in this position perform some or all of the following tasks. Other duties may be assigned.

Program Leadership & Community Partnerships

Develop and implement a comprehensive college and career readiness program that supports all students in postsecondary planning.

Partner with the Oregon Higher Education Coordinating Commission ASPIRE program, aligning efforts with regional personnel.

Collaborate with counselors, teachers, and administrators to integrate career readiness into the school curriculum.

Build and maintain partnerships with local businesses, military recruiters, community organizations, colleges, and admissions/financial aid staff to expand student opportunities.

Recruit, train, and supervise new volunteers for the ASPIRE program, and recruit students to create mentoring pairs with these Advisors.

Facilitate regular volunteer meetings, trainings, and recognition activities.

Provide initial and ongoing training to ASPIRE Advisors covering school policies, postsecondary preparation, problem‑solving, and working effectively with students from diverse cultural/ethnic backgrounds and disabilities.

Report any volunteer accidents or incidents to school administration.

Direct Student Support & Advising

Provide individualized advising to students on college admissions, financial aid (FAFSA/ORSAA), scholarships, and career exploration.

Support students in completing key milestones like applications, resumes, and career plans, ensuring equitable access for special populations.

Utilize data to track student progress, identify gaps, and implement targeted interventions to increase postsecondary enrollment.

Provide "drop‑in" students with ASPIRE curriculum materials and maintain strong knowledge of these web resources.

Manage and promote career readiness platforms like the ASVAB Career Exploration Program to ensure students are engaged in planning.

Events, Presentations & Communication

Plan, coordinate, and deliver classroom presentations, workshops, campus visits, guest speakers, and informational meetings for parents and students.

Plan and coordinate all aspects of Senior Awards Night, including event logistics, donor communication, and award verification.

Assist in organizing programs such as ASVAB testing and post‑test interpretation sessions.

Communicate regularly with students, families, and staff through announcements, digital platforms, newsletters, and career center marketing materials.

Involve parents/guardians through outreach activities and ensure students have parental permission to participate in ASPIRE.

Compose and send thank‑you notes to career center partners and donors, and independently answer routine questions and correspondence.

Administrative & Record Keeping

Follow ASPIRE guidelines and school policies regarding confidentiality, meetings, and safety, appropriately securing confidential student and personnel records.

Maintain accurate records and reports in compliance with district, state, and federal requirements, including OSAC key performance measures.

Develop and maintain student tracker and portfolio forms.

Track, verify, and maintain accurate records of scholarship funds awarded to students.

Manage special projects and perform other duties as assigned by the principal to support student success.

Media Center Operations & Professional Expectations

Manage media center operations, including utilizing computer networks and software, and performing routine maintenance on computers and related equipment.

Perform daily library and textbook duties such as cataloging materials, processing book check‑ins and check‑outs, tracking textbooks, processing billing, and collecting fees for overdue items.

Communicate directly with students and parents regarding overdue textbooks and library books.

Supervise students' independent use of the library, help teachers and students locate media materials, and assist the media specialist with the audiovisual department.

Professionally represent the school and the District in all interactions with students, staff, parents, and community members.

Maintain appropriate certifications and training hours, and comply with all applicable District, state, local, and federal laws, rules, and regulations.

Attend work regularly to consistently fulfill these duties.

Marginal Duties And Responsibilities

Serve on building and District committees and councils.

Report issues to authorities as necessary, animal control, suspicious activity, etc.

SUPERVISORY RESPONSIBILITIES
This position may supervise volunteers and student aides. This position may provide direction to some clerical office staff. All school employees have some responsibility for supervising students and assisting in maintaining a safe environment.

QUALIFICATIONS

Education and/or Experience:

Bachelor’s degree preferred and three to four years' related experience in typing, general clerical and/or training or equivalent combination of education and experience. Ability to rapidly and accurately enter and retrieve computerized data. Prior successful experience working in a school setting strongly preferred.

Interpersonal Skills:

Works well with others from diverse backgrounds. Focuses on solving conflict; maintaining confidentiality; listening to others without interrupting; keeping emotions under control; remaining open to others’ ideas and contributing to building a positive team spirit. Demonstrated ability to successfully work with adolescent students and public.

Language Skills:

Ability to communicate fluently verbally and in writing in English. Ability to respond to common inquiries or complaints from students, parents, staff, regulatory agencies or members of the community. Ability to effectively present information to principals and the Superintendent. Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write reports and business correspondence.

Mathematical Skills:

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

Computer Skills:

Proficiency in the usage of database software, internet software, e‑mail and word processing software. Ability to proficiently use the following programs strongly preferred: eSIS, MS Word, MS Publisher, MS Access, School Wires, MS PowerPoint and Excel, Subfinder. Ability to type accurately and proficiently.

Other Skills and Abilities:

Ability to appropriately communicate with students, teachers, parents, members of the community and others including vendors, law enforcement and other agencies. Ability to exercise good judgment and work in an environment with constant interruptions. Knowledge of college entrance requirements including testing, FASFA, OSAC and CIS. Knowledge of the Oregon University System.

Certificates, Licenses, Registrations:

Certificates as determined by the District including a valid Oregon Driver License and ability to obtain a valid CPR/First Aid card.
