IT Operations & Executive Coordinator

We’re partnering with a highly regarded international professional services firm to hire an IT Operations & Executive Coordinator to support a senior technology leadership team.
This is not a traditional admin role. You’ll sit at the centre of the IT function, helping drive planning, coordination, and communication across key initiatives while working closely with senior stakeholders.

What you’ll be doing:

Acting as a key support partner to IT leadership, helping manage priorities, schedules, and key deliverables
Supporting annual planning, budgeting cycles, and internal reporting processes
Tracking major IT initiatives, ensuring milestones, updates, and governance activities stay on track
Coordinating cross-functional meetings, reviews, and communications across the IT team
Creating polished presentations, reports, and briefing materials for leadership audiences
Managing follow-ups, actions, and documentation to keep projects moving forward
Supporting vendor coordination, internal events, and operational activities during busy periods
Helping improve internal processes and bringing structure to evolving workflows
What we’re looking for:

3+ years’ experience in an administrative, operations, or coordination role within a corporate or professional services environment
Strong organisational skills with the ability to manage multiple priorities effectively
Experience supporting senior stakeholders or leadership teams
High level of proficiency with Microsoft Office (especially PowerPoint, Excel, and Outlook)
Confident communicator with strong written skills and attention to detail
Comfortable working with sensitive information in a professional setting
Proactive mindset, with the ability to take ownership and work independently
Nice to have:

Experience supporting IT, technology, or project-based teams
Exposure to planning cycles, reporting, or governance processes
Familiarity with collaboration tools such as Teams or SharePoint
