The Role
We are seeking apolished, highly organized, and proactive front office professionalto serve as the first point of contact for our practice. This is not a traditional front desk role. The ideal candidate operates with anexecutive assistant mindset— someone who is detail-oriented, anticipates needs, communicates clearly, and takes pride in maintaining a refined, well-managed environment. This position plays a key role in shaping the patient experience and ensuring the day-to-day operations of the practice run smoothly.
Position Overview
Full-time, on-site (Monday–Friday)
Hours: Approximately 9:00 AM – 6:00 PM
Location: Midtown Manhattan
Key Responsibilities
Serve as the primary point of contact for all patient communication (phone, email, and in-person), ensuring a professional, calm, and seamless experience
Manage provider schedules with a high level of accuracy and attention to detail, including scheduling, rescheduling, and confirmations
Maintain an organized and efficient front office environment, ensuring the space is always presentable and running smoothly
Handle patient inquiries thoughtfully and professionally, exercising sound judgment and discretion
Maintain accurate and up-to-date patient records and documentation
Coordinate with clinical staff to support daily workflow and ensure continuity of care
Support general administrative and operational tasks as needed
Qualifications
1+ years of experience in a front desk, administrative, or client-facing role (healthcare or high-end service environment preferred) OR
1+ years of experience as an executive assistant
Strong written and verbal communication skills; professional and articulate
Excellent organizational skills and attention to detail
Ability to manage multiple priorities in a fast-paced environment
High level of professionalism, discretion, and emotional intelligence
Comfortable interacting with a wide range of individuals in a calm and composed manner
Strong sense of accountability and ownership over daily responsibilities
Proficient with basic computer systems; able to learn new platforms quickly
Reliable, punctual, and able to work on-site five days per week
