Summary
The Patient Service Specialist (Scheduler) plays a critical role in supporting MaineHealth Primary Care Pharmacists by managing patient scheduling, coordinating care, and ensuring efficient clinic workflows. This is a hybrid position with a home location in Westbrook, ME serving as the first point of contact for patients, providing exceptional customer service while maintaining accuracy in scheduling and documentation. The PSS collaborates closely with pharmacists, providers, and other care team members, including leadership to optimize patient access and experience.
Referral Management & Scheduling
Schedule patient appointments for pharmacist‑led visits (e.g., medication management, chronic disease follow up)
Manage appointment reminders, cancellations, and rescheduling.
Coordinate with providers and pharmacist to ensure accurate appointment types and durations.
Pharmacist/Provider‑Collaborative Practice Agreement support and management.
Patient Communication
Answer inbound calls and respond to patient inquiries regarding pharmacy services.
Provide clear instructions for visit preparation and follow‑up.
Respond to electronic MyChart messages from patients in an effective and timely manner.
MyChart set up and support for patients.
Workflow Support
Monitor pharmacist schedules and adjust based on clinic needs.
Assist with referral tracking and documentation in the EHR system.
Administrative Duties
Verify insurance coverage and update patient demographic information.
Maintain compliance with HIPAA and clinic policies.
Prior Authorization processing and support.
Quality initiative support for pharmacist and leadership teams.
Collaboration
Work closely with pharmacist and care teams to identify scheduling gaps and improve patient access.
Participate in team huddles and contribute to process improvement initiatives.
Education: High school diploma or GED preferred.
License/Certifications: N/A
Experience: Six months of medical office experience required.
Additional Skills/Requirements Required: N/A
Additional Skills/Requirements Preferred: Proficient computer skills.
