
Referral Supervisor

Essential Duties and Major Responsibilities
Assures coordination of patient care between CHC provider and specialist by obtaining, verifying, and providing required information to appropriate parties.
Develop training for current and new referral staff.
Audits all specialist/diagnostic appointments book to ensure that they are done correctly.
Tracks all booked appointments.
Supports operations by assisting staff with internal and external communication and by maintaining necessary document flow.
Assures that the referral process meets the specific guidelines of all contracted insurance carriers in the appropriate timeframe.
Enters and updates information into the medical computer systems, maintains a file of all pending referrals.
Institutes a referral tracking process, allowing all clinical support staff to view the information for patients or insurance carriers.
Documents all changes in health coverage for CHC patients and initiates phone/computer contact to other outside agencies for eligibility, identification, and authorization.
Arranges appointments, notifies members and/or families of appointment dates and any special instructions regarding their appointments.
Conducts the training of new/additional staff in the referral processes.
Maintains a safe and clean working area at all times.
Uses good time management skills.
Contributes to the \"Team Concept.\"
Actively participates in staff meetings and works toward accomplishing department goals and objectives.
Works well with others, accomplishing expected results.
Reports to work at the appointed time, adhering to policies and procedures regarding attendance.
Displays a positive attitude toward all department providers, supervisors, and staff members.
Maintains member confidentiality; is aware of the organization's protocols and adheres to their requirements, including but not limited to those addressing HIPAA compliance.
Demonstrates understanding and commitment to the health center mission.
Demonstrates understanding and commitment to the established CHC values and standards.
Other duties as assigned.
Minimum Qualifications
High school diploma or GED required.
Minimum 1 year supervisor experience.
Minimum 3 years related referral experience.
Experience in appointment scheduling.
Knowledge of the referral process in a medical office (experience may be substituted for formal training).
Basic computer skills required.
Good interpersonal skills and ability to work and foster a team environment.
Certification as a Medical Receptionist or Medical Secretary preferred.
Supervision Exercised: Referral Clerks/Assistants and Screening/Prevention team.
Competencies: Individual departments may develop competencies which will be communicated and maintained through CHC's performance evaluation system.
Environmental Working Conditions: The environment is a normal office environment of a busy Community Health Center.
Physical Requirements: The physical and mental demands are representative of those that must be met by an employee to successfully perform the essential duties of this job with or without a reasonable accommodation. Normal visual acuity and standard clerical dexterity to operate computers, printers, photocopiers, and fax machines; moderate walking, standing, reaching, and stooping to accomplish everyday office tasks required.
