The Administrative Program Coordinator II serves as a liaison and operational resource within the Caring for Caregivers (Caregiver Support Team). This role supports caregiver-facing programs by coordinating initiatives, guiding individuals through support services, and improving operational processes. The position blends administrative coordination with high-touch, empathetic caregiver support.

In this hybrid schedule, you will work from 8:00 a.m. – 5:00 p.m. Monday – Friday, with a requirement to work onsite one day per week.

Responsibilities

Coordinate caregiver support initiatives and programs (non-clinical).

Act as a caregiver navigator, guiding individuals through services, internal job applications, and support resources.

Provide empathetic, high-touch support to caregivers, including those impacted by job displacement.

Manage orientation and records management activities.

Develop and maintain interdepartmental education programs.

Schedule, coordinate, and facilitate meetings; document outcomes.

Track project milestones, deadlines, and communicate status updates.

Research and prepare presentations and reports.

Assist leadership with large/complex projects; independently lead smaller projects.

Handle administrative tasks (supplies, invoices, communications platforms).

Maintain strict confidentiality with sensitive information.

Collaborate cross-functionally (HR, recruiters, service center, etc.).

Manage a caseload (~30–50 caregivers, potentially higher).

Lead orientation and record management activities and ensure standards are maintained.

Minimum Qualifications

Associate’s Degree with three years of administrative or project management experience OR High School Diploma/GED with five years of experience OR Bachelor’s Degree with one year of experience.

Strong computer skills and experience with software applications.

May require a license based on department/institute needs.

Communication and interpersonal skills.

Organizational and multitasking ability.

Computer proficiency (Microsoft Office and general systems).

Ability to work independently with minimal supervision.

Experience handling confidential/sensitive information.

Preferred Qualifications

Bachelor’s degree (Business, Healthcare Administration, or related field).

Healthcare or related industry experience.

Coaching or guidance-based experience (e.g., mentoring, advising, support roles).

Customer service/service recovery experience.

Experience developing programs (healthcare, education, or financial).

Beginner Spanish language skills.

Background in education, human services, or similar people-centered roles.

Physical Requirements

High degree dexterity to operate office equipment.

May require extended periods of standing, walking or sitting. Good visual acuity through normal or corrected vision.

Good hearing acuity.

Personal Protective Equipment

Follows standard precautions using personal protective equipment as required.
