The Administrative Assistant plays a crucial role in ensuring the smooth and efficient operation of the office by providing comprehensive administrative support to the team. The role requires maintaining accurate records and managing multi-line phone systems to facilitate clear and professional communication both internally and externally. The Administrative Assistant acts as a key point of contact, supporting various clerical tasks that contribute to the overall productivity of the office and warehouse environment. Ultimately, this position enables leadership and staff to focus on their core responsibilities by managing essential administrative functions with precision and professionalism.
Minimum Qualifications
High school diploma or equivalent required; associate degree or higher preferred.
Proven experience in an administrative or office support role, demonstrating proficiency in calendar management and travel coordination.
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
Excellent verbal and written communication skills.
Proficiency with standard office software such as Microsoft Office Suite (Word, Excel, Outlook).
Preferred Qualifications
Experience working in a fast‑paced warehouse environment.
Familiarity with records management systems and office equipment.
Ability to handle confidential information with discretion and professionalism.
Additional training or certification in office administration or related fields.
Responsibilities
Answering and directing phone calls and greeting visitors.
Manage and maintain calendars, scheduling appointments and coordinating meetings to ensure optimal time management.
Perform general clerical duties such as filing, data entry, records management, and preparing correspondence to support office operations.
Scanning, filing, organizing, and maintaining all paperwork accurately and in a timely and efficient manner, including, but not limited to, warehouse work orders, truck logs, fuel receipts, and any other miscellaneous paperwork that circulates through the warehouse.
Scheduling common carrier pick ups on a daily basis.
Scheduling truck maintenance and maintaining accurate records on our owned and leased truck fleet.
Ordering supplies for the warehouse and office.
Enter and maintain accurate records in MRO system.
Scanning and attaching material certifications in computer system.
Act as a liaison for HQ to support any departmental needs.
Assist with basic Human Resources functions to help maintain accurate employee records, including, but not limited to, setting up interviews, conducting on‑site onboarding for both HR and Safety, obtaining any necessary personnel information, etc.
Other duties as necessary.
