As a

Process Optimization & Documentation Specialist , you play a key role within the

Sales, Market & Data Operations Team . You work closely with internal and external stakeholders to analyse, optimise and clearly document end‑to‑end processes. Your contribution ensures more efficient, transparent and stable operations.

Your responsibilities

Process optimisation

Analyse existing processes (e.g. customer onboarding, contract lifecycle, billing, data distribution) and identify bottlenecks, risks and improvement opportunities.

Design and implement optimisations leading to more robust and performant workflows.

Facilitate workshops with operational teams, product owners and account managers to validate processes and build buy‑in.

Follow up on improvement initiatives and monitor their impact through KPIs.

Process & system documentation

Produce clear, structured documentation: process flows, SOPs, RACI matrices, work instructions and data flows.

Ensure documentation remains up to date following system changes, new products or organisational evolutions.

Build and manage a central documentation repository (Confluence / SharePoint).

Define templates, standards and guidelines to ensure consistent, high‑quality documentation.

Operational implementation of new products and contracts

Participate in product design meetings to integrate operational processes from the start.

Coordinate with Product Owners, Market Operations, Sales and IT on flow design, data flows and operational steps.

Ensure clear readiness checks, participate in UAT/SIT testing and help identify and mitigate operational risks.

Support the transition to business‑as‑usual with transfer documentation and targeted onboarding.

Governance & quality

Contribute to strong process and data governance in line with CMS and Elia methodologies.

Support audits and internal controls by providing accurate and complete documentation.

Identify operational, data and compliance risks and propose mitigating actions.

Team support

Coach colleagues in process thinking, documentation and continuous improvement.

Translate complex topics into clear, understandable information for both technical and non‑technical stakeholders.

Your Profile

You hold a Master’s degree.

You have experience in process optimisation, process mapping and/or quality management.

Strong skills in structuring, documenting and communicating clearly.

Experience with process modelling tools (Visio, Miro, Lucidchart…) and Power BI is a plus.

Analytical and detail‑oriented, while remaining pragmatic and solution‑driven.

Fluent in Dutch, French and English.

Nice to have

Knowledge of SAP.

Experience with energy market processes, data flows or B2B environments.

Knowledge of Lean, Six Sigma or other continuous improvement methodologies.

Experience with data and system processes (MDM, integrations, workflow tools).

Location
Keizerslaan 20, 1000 Brussels. Our office is easily accessible by public transport, a 5‑minute walk from Brussels‑Central station.
