
Administrative Assistant

Your Tasks:
Administrative Assistant plays a key part of the Sales organization, supporting the flow of both technical and commercial information across the team. You’ll work closely with Sales, Application Engineering, and leadership to keep operations organized, efficient, and moving forward.
Maintain organization of the Sales office, including supplies, equipment, and marketing materials
Prepare and format letters, presentations, reports, and proposals for the Sales team
Support RFQ and proposal processes using vendor portals and internal systems
Assist with filing and maintaining project documentation, including confidential materials
Coordinate and schedule meetings, manage calendars, and support internal communications
Review and verify department expense reports and timesheets for accuracy
Coordinate travel arrangements and track vacation schedules for the team
Maintain key data and documentation for Application Engineering activities
Assist with customer-facing activities such as organizing meetings, lunches, and events
Generate and support reporting through Salesforce and CRM tools
Provide light administrative IT support as needed
Administer company uniform program and order safety equipment (PPE)
Support drawing/document handling (plotting) as needed
Perform additional administrative and coordination tasks as needed
Your Skills:
High School Diploma required; Associate Degree preferred
2+ years of experience in an
administrative or office manager role
Strong proficiency in
Microsoft Office (Word, Excel, PowerPoint, Outlook)
Experience with
Salesforce or CRM systems
preferred
Excellent
written and verbal communication skills
Strong
organization and time management skills
with ability to multitask
Ability to work in a
fast-paced, changing environment
with a positive attitude
High attention to detail and ability to
maintain confidentiality
Team-oriented mindset with a willingness to support multiple stakeholders
