Salary range: $65,000-75,000

Your Role
The Gift Administration Specialist reports to the Assistant Director, Database Services & Gift Administration and is responsible for coordinating all major gift administration processes. The incumbent is also tasked with performing other related duties as assigned to support the overall mission of the Advancement Services Team to record and report on all Gifts (online gifts, direct mail gifts, etc.) timely, accurately and completely.
Primary Duties
Major Gift Processing and Management
Be the point person for ensuring all major gifts are entered into our gift receiving paper‑save system with complete and accurate information
Ensure the gift allocation, donor stewardship requirements and needed backup is part of every gift
Manage the overall workflow and approval following up with the Development, Finance & Donor Relations teams as needed
Assist in recommending and implementing industry best practices to enhance and improve performance of the Gift Administration unit
General Gift Processing
Assist the team in all gift processing functions including, electronic check deposit and credit card processing, entering in gifts from our lockbox vendor as well as online gifts
Handle tax letter preparation
Maintains accurate records in Raiser’s Edge and ensures the integrity of all gift processing data
Other
Performs research, analysis and reporting on gifts and donor accounts
Partners with Development team staff and internal stakeholders on any gift inquiries; responds to requests submitted to the Gifts email inbox and manages the Gifts project‑management tickets.
Assist with preparing relevant gift schedules for the annual external audit
Completes other special projects as assigned
Who you are
Bachelor’s degree or an equivalent combination of education and two years’ experience in a university, fundraising or development office of a not‑for‑profit preferred
Data entry and administrative experience is a plus
Highly proficient in Microsoft Office (Excel, Word, Outlook); experience with data entry in Raiser’s Edge a plus
Detail oriented, organized, analytical, with strong verbal and written communication skills
Demonstrated ability to provide excellent customer service; ability to work with multiple stakeholders and personalities
Basic knowledge of financial analysis, gift reporting policies and procedures preferred
Quick learner; aptitude to learn, interpret, apply and streamline a variety of complex policies and procedures with minimal guidance
Must be able to handle confidential information with excellent judgement and discretion.
Understand the sense of urgency around specific tasks or projects and the ability to prioritize and re‑prioritize, as needed
Able to manage time well, juggle multiple priorities, and meet deadlines
