Health Information Specialist I

Full-time, regular. Office hours: Monday–Friday 8:00 AM–4:30 PM CST.

Position Summary:

This entry‑level role processes all Release of Information (ROI) requests, primarily medical record requests, ensuring accuracy, compliance with HIPAA, company policy and customer service excellence. The incumbent safeguards patient privacy and maintains confidentiality.

Responsibilities

Receive and process patient information requests in accordance with company policies and procedures.

Maintain confidentiality and security of privileged information.

Use company and facility software to manage records.

Adhere to the code of conduct and policies.

Notify manager of workload, site issues or volume changes.

Assist with additional duties as necessary.

Apply medical privacy regulations to prevent unauthorized disclosure.

Manage patient health records and ensure HIPAA compliance.

Prepare new patient charts from paper and electronic sources.

Assemble and verify accuracy and completeness of medical records.

Create digital images for electronic record storage.

Respond to patient record requests from internal and external sources.

Handle inbound and outbound calls.

Assist patient walk‑ins and perform administrative tasks such as faxes, mail and data entry.

Meet productivity expectations tailored to the specific site.

Schedule pick‑ups as needed.

Perform other duties as assigned.

Qualifications

High School Diploma or GED.

Ability to commute between locations as needed.

Willingness to work overtime during peak seasons.

Basic computer proficiency.

Comfortable using phone, fax machine, printer and other office equipment.

Strong verbal and written communication in English.

Detail‑oriented with a focus on accuracy and compliance.

Strong data entry skills.

Capability to work independently and respond to changing priorities.

Organize and manage multiple tasks.

Operate in a fast‑paced environment.

Bonus Points

Experience in a healthcare environment.

Previous production or metric‑based work experience.

In‑person customer service experience.

Ability to build relationships with on‑site clients and customers.

Process improvement suggestions and feedback to stakeholders.
