Position Summary

The Talent Acquisition and Onboarding Specialist is responsible for coordinating and executing full‑cycle recruitment processes and delivering a consistent, compliant, and welcoming onboarding experience for new employees. This role plays a critical part in supporting the organization’s affirmative action, equal employment opportunity (EEO), and diversity commitments through accurate data collection, reporting, and compliance activities. The specialist works closely with hiring managers, HR leadership, and compliance partners to ensure fair, inclusive, and legally compliant hiring practices.

Major Responsibilities
Recruitment and Selection

Coordinate full‑cycle recruitment for assigned positions, including processing job postings, assisting with candidate sourcing, screening, interviewing, and offer coordination.

Provide guidance to hiring managers on recruitment planning including requisition submittal, recruitment strategies, reference reviews, final selection of candidates, and search policies and procedures.

Participate in outreach and recruitment initiatives that support diverse applicant pools and inclusive hiring efforts.

Ensure job postings, interview processes, and selection practices are applied consistently and in compliance with applicable employment laws.

Manage data in the applicant tracking system.

Utilize the applicant tracking system to review applicant materials, process requisitions, manage candidate communications, and prepare recruitment reports.

Ensure applicants are appropriately dispensed and positions are correctly closed in the applicant tracking system.

Assign user roles in the applicant tracking system.

Support the reference checking process, inputting information into the reference checking database, monitoring report completion, and interpreting reference reports.

Conduct search training for hiring managers, administrative support personnel, search committee chairs and search committee members. Serve on search committees and participate in on‑campus interviews as appropriate.

Manage the Consultative Search Committee process ensuring that the nomination and voting process is facilitated in a timely and accurate manner.

Confer with the talent acquisition director and associate vice president for human resources to address elevated search issues.

Work with the talent acquisition director to monitor talent acquisition trends including trends pertaining to artificial intelligence, talent acquisition systems, recruitment strategies, and uses of social media.

Serve as the back‑up to the classified staffing specialist.

Employee Onboarding

Routinely maintain and update onboarding materials in Employee Records ensuring a full review of the system is completed annually.

Work with HR staff to plan, coordinate, and co‑host the quarterly in‑person professional and classified staff orientation program.

Assist in the development and maintenance of onboarding materials including manager and new employee checklists and guides.

Contact new employees prior to their start date to review onboarding documentation requirements and to respond to any employee questions.

Partner with Talent Acquisition team members to assess onboarding initiatives.

Affirmative Action, EEO, and Compliance Responsibilities

Support the organization’s affirmative action plan (AAP) and EEO obligations through accurate data tracking, analysis, and reporting.

Collect, monitor, and maintain applicant, hire, and employee demographic data in accordance with confidentiality and data integrity standards.

Identify and elevate potential adverse impact or compliance risks to HR leadership.

Generate routine and ad‑hoc recruitment and hiring reports related to diversity metrics, applicant flow, selection rates, and hiring outcomes.

Systems, Reporting, and Service

Prepare standardized hiring and onboarding reports for HR leadership and compliance partners.

Support continuous improvement of recruitment and onboarding processes using data‑driven insights.

Partner with Talent Acquisition team members to ensure the Recruitment and Onboarding sections in Team Dynamix are routinely updated and maintained.

Attend a minimum of three events on campus per year.

Engage in professional development activities to ensure knowledge of employment law and HR best practices.

Functional and Supervisory Relationships

Reports to the Director of Talent Acquisition.

Works closely with the Human Resources Office staff, search committees, and managers across the university.

Required Qualifications

Bachelor’s degree in human resources, business administration, management, economics, psychology or a closely related field; or

Bachelor’s degree and a minimum of one year of professional human resources experience.

Preferred Qualifications

Bachelor’s degree in human resources management.

Onboarding experience.

Experience working with Applicant Tracking Systems (ATS).

Experience working with human resources information systems.

Knowledge, Skills & Abilities
