The Project Manager supports the Construction Manager and project stakeholders by leading front-end project definition, job packaging, material coordination, and cross-discipline execution support. This role focuses on converting project concepts into executable work packages by assisting Engineering, Maintenance, Instrumentation & Controls, Operations, and Construction teams. The Project Manager serves as a coordination and execution support role during a significant industrial ethanol plant modernization, ensuring scopes are clearly defined, materials are identified, and work is ready for safe, efficient construction.
Essential Duties and Responsibilities:
Develop Scope of Work (SOW) documents for projects across all disciplines, break projects into clear, executable job packages suitable for internal crews or external contractors, and ensure scopes are clearly defined.
Develop and maintain Bills of Materials (BOMs) supporting project scopes.
Coordinate with Engineering, Maintenance, vendors, and Construction to validate BOM completeness.
Support material readiness to prevent field delays during construction.
Act as an execution support resource to Engineering, Maintenance, I&C, and Operations by helping convert ideas and needs into defined scopes, materials, and work plans.
Manage constraint log to reduce execution friction.
Develop task-level and package-level readiness schedules, track scope, material, and contractor readiness milestones, and identify risks to the construction schedule and escalates early.
Participate in bid reviews to confirm scope and material alignment.
Coordinate with Construction Manager on contractor selection and execution planning.
Support RFI development and resolution by ensuring scopes and assumptions are clearly documented.
Assist with change identification driven by scope evolution or field discovery.
Help ensure change requests are tied back to original scope definitions and BOMs.
Maintain organized project documentation and ensure that the punch list is completed in a timely and cost-effective manner.
Oversee that all established procedures and policies are followed in regard to safety and protection of company assets.
Promote and protect the good name of Chief Industries within the community and surrounding area.
Maintain good communication with all departments within the brand in order to have a thorough knowledge of works in process.
Attend all project meetings and assist with execution of project requirements.
Review subcontracts and purchase orders of material items required for the construction of projects under contract.
Maintain confidentiality of proposed projects and costs.
Review all subcontractor and supplier invoices, while verifying the amount, cost-code to be charged, and disclosed material/sub-subcontractors.
Process Change Orders for all approved Change Requests. Ensure that all Change Requests have an executed Change Order prior to proceeding. Adjust projections, project schedules, and other change order requirements in a timely manner. Ensure that all subcontractor change orders are executed prior to approving the pay application.
Monitor cost issues daily and adjust projections as required to ensure projected costs are true and an accurate account of final project costs in relationship to original estimate.
Assist in the determination of contingency amounts at the time of project closings.
Maintain a good relationship with the contractors during construction of the project.
Coordinate the entire project along with the Construction Manager, Construction Team, and management to ensure all projects are completed within budget and on time or ahead of schedule.
Quickly and properly follow-up on all leads in a very professional manner within 24 hours.
Communicate ideas for improving company processes with a positive and constructive attitude.
