Description
The Sponsored Programs Department located on the Sacramento State campus is seeking to hire one Contract Support Associate (Associate) is a member of the Contract team that works collaboratively with the post-award administration team and California State University, Sacramento (Sacramento State) faculty and staff in the issuance of agreements related to externally funded grants and contracts. This is a high-volume, quick-paced environment in which the Associate supports the Contract Counsel (Counsel) and provides administrative support for the Contract team.

This is a part-time, temporary, non-benefited position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.
UEI does not allow employees to hold more than one UEI Job at a time, or work in more than one account per pay period. UEI employees who are considering leaving their current UEI position for a different UEI position should inform their supervisor in writing and provide at least a week's notice.
Depending on the type of position you are applying for, a pre-employment background check consisting of one or more of the following may be conducted: employment history, professional references, criminal check: educational verification (i.e., degree, license, or official transcript), DMV clearance. Work Schedule
Flexible workdays and work hours, Monday - Friday, between 8 AM - 5 PM. Final work schedule to be determined by supervisor.
Additional Work Schedule
Casual employees are limited to 19.5 hours per workweek (Sunday - Saturday).
Compensation
$23- $25 per hour
Minimum Qualifications
Demonstrated general office and clerical experience.
Demonstrated experience with standard business computer software including word processing, data entry, and spreadsheets, such as the programs in the Microsoft Office Suite.
Excellent oral and written communication skills, interpersonal skills, and skills to effectively function as part of a team and with other departments.
Demonstrated experience effectively communicating and working with all levels of employees and/or customers while maintaining a professional demeanor and exercising tact and good judgment.
Ability to function effectively in a detail-oriented capacity, to respond effectively to changes in priorities and overlapping deadlines, and to work independently.
Demonstrated experience performing accounting functions.
Excellent organizational skills and multi-tasking abilities.
Skills in maintaining a complex filing system (manually and electronically) including numerical files.
Must pass a background check.
Must continue to meet the established standards.
Preferred Qualifications
Experience with computer systems and software packages used by UEI and Sacramento State including, but not limited to, CentralSquare ONESolution/Finance Enterprise (formerly Superion/SunGard/Bi-Tech) and Ultimate Kronos Group (UKG) Workforce Ready software.
Experience reading and interpreting grant and/or contract language.
Experience scanning and archiving documents.
Duties and Responsibilities
Maintains, gathers, and analyzes data and information for various purposes including but not limited to data entry, communication routing, reporting, and form completion.
Assists with updating, modifying, verifying, and closing out contracts consistent with department policies and procedures; analyzes document types and information.
Performs administrative tasks including entering, routing, tracking, and updating contract data in electronic management systems and managing department forms; updates various databases related to contracts (e.g., Smartsheets).
Works closely with the Counsel to ensure that all sponsored programs agreements are executed in the best interests of UEI and Sacramento State.
Supports the Counsel with initial drafting of subcontracts and independent contractor agreements.
Ensures actions in all matters are performed timely to prevent delays to project timelines.
Assists with annual subrecipient monitoring and federal reporting.
Requests and tracks certificates of insurance for contracting parties and funding sponsors.
Physical Requirements
Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers, and scanners with or without reasonable accommodation.
Working Conditions
Work is performed in an office environment, continuous contact with staff, the campus community, and representatives of funding agencies.
