Commercial Coordinator

Are you ready to be part of something bigger! M.E. Flow is looking for a dynamic Commercial Coordinator to join a thriving business that believes in work life balance and cares about you! In this role, you will be responsible for:
Answering incoming customer requests and inquiries in a professional & friendly manner
Acting as a liaison between customers, technicians, salespersons & management
Scheduling service and routine maintenance appointments
Maintaining & updating customer records based on interactions
Processing invoice payments
Providing information about products and services
Troubleshooting and resolving customer issues and concerns
Developing & maintaining a knowledge base of the evolving products & services that benefit our customers
Participating in in-house training on products & services needed by our customers and office software required to fulfill this position
Additional duties as assigned.
Checking Service Tech Time
Updating time -discrepancies
Updating time -Lunch discrepancies
Tracking GPS to be consistent with work order
Invoices Dashboard
Reviewing and correcting daily incoming completed Invoices
Reviewing and correcting discrepancies with payments, managing A/R
Reviewing for proper solution coding
Reviewing if follow up work order has been created
Ensuring if invoice have been emailed to customer
Reviewing invoices for any potential sale and giving to manager
Reviewing if there is a warranty discrepancy and getting with warranty department
Managing Commercial Memberships
Giving manager any memberships expiring for review
Sending renewal to customers
When sold creating renewal or new membership in system
Scheduling seasonal maintenances with customers
Ordering any necessary material needed for inspections
Dispatching technicians
Creating new calls for parts that may be needed for further installation and placing them on the parts managers' side to be ordered
Calling customer and noting in system
Page and dispatch technicians to proper locations for service calls
Taking payment for services rendered
Answering phones CSR calls *Addressing customer's questions, concerns and/ or trouble shooting customer discrepancies
Calling customer if any updates on dispatch board request by Manager
Creating and implementing policies and procedures that help the commercial department
Representing ME FLOW Vision
Assuring documentation is consistent
Assuring customer satisfaction
Building Ethical Empowerment Team Environment
Keeping Managers informed of any process the needs an immediate attention
Assisting all Managers in projects as needed
Other duties as they are assigned
Serving as a backup to dispatch when needed
Assisting calling clients per geographical location for semi annual inspections
Required Qualifications:
Minimum of 1-year administrative or customer service experience in an office setting is required
Knowledge in Microsoft Office is a required
Ability to easily cultivate strong rapport with customers and co-workers
Find it rewarding to organize, prioritize and manage time effectively to see a task through to completion
Work well independently & with integrity in a structured yet relaxed environment
Enjoy patiently, empathetically helping others
Excellent written and verbal communication skills
The physical requirements of this job include:
Perform work while sitting and/or standing at an individual work station or office
Communicate verbally via phone or other communication device.
Ability to stand, walk and sit; talk or hear, both in person and by telephone
Use hands to type, handle or feel objects or controls; reach with hands and arms.
Occasionally stoop, kneel, bend, crouch and lift up to 10 pounds.
Work is usually performed in an indoor office environment.
