The Job
We are seeking an exceptional Executive Assistant to support a dynamic, high-profile CEO based in St. Louis, MO. The role requires someone local for regular in-person errands and tasks at the CEO’s home, as well as availability for frequent local and national out-of-town travel. The ideal candidate will be fiercely proactive, with unparalleled professionalism and thrive in a fast-paced environment. This position offers a unique opportunity to work closely with a visionary leader and requires someone who can anticipate needs, manage a complex schedule, and ensure flawless execution of daily responsibilities.
What You Do
Serve as the primary point of contact for the CEO, managing all communications with confidentiality and tact.
Oversee and manage the CEO’s complex calendar, including meetings, events, travel itineraries, and personal appointments.
Anticipate and handle all the things: status reports, emails, logistics, preferences, updates, and changes, ensuring all materials and resources are consistently available ahead of meetings.
Travel with the CEO, often on short notice, to ensure seamless execution of logistics, events, and meetings (upwards of 40% of your time).
Handle personal errands and related tasks in the St. Louis area, including scanning mail, shopping, gift wrapping, and planning with vendors and set up for holiday preparations (e.g., chef, wrapping Christmas presents, logistics, decorating etc).
Act as a liaison between the CEO and internal/external stakeholders, ensuring timely follow-ups and prioritization of tasks.
Provide general administrative support, including expense reporting, note taking and document organization.
Manage the CEO’s book-related activities – oh yes, she is also the author of
“Pets Are Family”
– including contacting bookstores to stock the book.
Support the management of social media agency related to creation and scheduling of social media content.
Coordinate book publicity efforts and manage related administrative tasks.
Provide ad hoc support for the CEO’s other venture, TinySuperheroes®, which may include working events, community support, and administrative tasks.
Ability to maintain absolute confidentiality and exercise sound judgment.
Bring a consistently positive, solutions-oriented energy to every interaction, helping create an environment where people feel welcomed, supported, and confident—even during high-pressure moments.
Understands proximity to the CEO is a professional relationship, not a personal one.
Qualifications
5+ years of Executive Assistant wizardry (or equivalent experience).
Exceptional written and verbal communication skills, using intentionality in thought and expression.
Someone who notices the smallest details and stays five steps ahead.
Someone local to St. Louis with reliable transportation (errands are part of the gig).
