Position Summary:
As the Front Desk Supervisor, you will play a vital role in the daily flow of patient intake and the level of customer service our patients receive. You are responsible for ensuring a courteous and friendly service to all SightMD patients and contributing to building a positive work environment, as well as overseeing the day-to-day function and performance of Front Desk employees. Prior medical reception and supervisory experience is required, preferably in the eye care field. You should be able to communicate professionally, be comfortable working in a medical environment, be highly organized, have a strong customer service background, possess excellent computer and organizational skills, and embody a welcoming/friendly demeanor.
Job Duties & Essential Functions:
Manage staff scheduling to ensure proper coverage and appropriate distribution of hours among teammates
Evaluate staff performance and levels of customer service as it aligns with SightMD's Core Values
Coach, lead, and encourage teammates through constant feedback and positive reinforcement
Identify individual needs and shortcomings; provide tools and resources necessary to further develop and excel as possible
Monitor and manage the compliance of your area and report any regulatory issues to management
Train and advance all new and existing teammates
Foster a productive, positive work environment
Ensure all patients are properly greeted immediately upon arrival and that the applicable protocols are used such as registering new patients, ensuring patient billing and insurance information is accurate, inform patient of medical office procedures and policies, ensure necessary referral or patient documents are on file for visit
Maintain and manage patient records, audit frequently
Manage the flow of patients through appointments as scheduled
Ensure necessary external medical reports are obtained as required by medical professionals
Ensure all exiting patients are scheduled with follow up appointments according to physician's needs and that any necessary additional information is obtained
Deposit daily monies including payments, copay's, etc. and ensure/verify accuracy
Manage the follow up of all no-shows and cancellations in accordance to practice policy
Oversee and ensure the safeguarding of patient privacy and confidentiality
Obtain prior authorization for any patients having in-office procedures
Be knowledgeable of all monthly promotions offered and share with patients accordingly
Acquire audiology add-ons and comply with audiology-related policies that apply to locations where audiology services are offered
Ensure the reception area is well maintained, neat and clean and that the chairs are straightened and orderly
Check magazines for current dates, rotate magazines back to the reception room
Pick up items left behind by patients and properly disposes of them
Special projects and other duties as needed and directed by your supervisor
Required Qualifications:
High School diploma or equivalent required
Excellent written, verbal, and listening skills
Prior supervisor/management experience in the medical field at the front desk, preferably ophthalmology
Ability to work a flexible schedule, including weekends
Above average customer service skills and the ability to remain calm in stressful situations
Work Schedule:
Rotating Schedule including days, evenings, and weekends.
Salary Range:
$22.00 - $23.00/Hourly
