Industrial Maintenance Purchasing Clerk
The Industrial Maintenance Purchasing Clerk supports the maintenance team by sourcing, purchasing, and tracking maintenance parts, tools, and supplies to keep the facility running efficiently. This role combines purchasing, inventory coordination, and vendor communication in a fast-paced industrial environment, offering a stable, full-time opportunity with room for growth.
Responsibilities
Order maintenance parts, tools, and supplies required for daily operations and preventive maintenance activities.
Request quotes from multiple vendors, compare pricing and terms, and place purchase orders in a timely and accurate manner.
Track shipments, monitor delivery status, and follow up with vendors regarding delays, discrepancies, or missing items.
Maintain accurate inventory levels of maintenance parts and supplies, and update records in the maintenance management or inventory system.
Work closely with maintenance technicians and planners to ensure they have the correct parts and materials when needed for scheduled and urgent work.
Assist with returns, warranty claims, and vendor communication to resolve issues with defective or incorrect materials.
Keep purchasing files, logs, and documentation organized, up to date, and compliant with internal procedures.
Support schedule planning by coordinating part availability with maintenance work orders and preventive maintenance schedules.
Use maintenance software and computer-based systems to enter data, manage purchase orders, and run basic reports related to purchasing and inventory.
Collaborate with multiple departments, including maintenance and production, to prioritize needs and support equipment uptime.
Essential Skills
Experience or strong interest in purchasing, inventory, maintenance, or manufacturing environments.
Demonstrated strong attention to detail with a focus on accuracy in orders, records, and documentation.
Proficiency using computers, spreadsheets, and basic software applications to manage purchasing and inventory data.
Ability to use or learn maintenance software, maintenance management systems, or CMMS tools for tracking parts and work orders.
Strong organizational skills to manage multiple purchase orders, vendors, and inventory items simultaneously.
Effective verbal and written communication skills for working with vendors, maintenance technicians, and other departments.
Ability to work in a fast-paced environment and manage shifting priorities and urgent maintenance needs.
Foundational knowledge or experience in maintenance purchasing, inventory, vendor management, and buying activities.
Additional Skills & Qualifications
Familiarity with maintenance parts, tools, and supplies used in industrial or manufacturing settings.
Experience with vendor management, including obtaining quotes, negotiating pricing, and managing vendor relationships.
Exposure to maintenance management systems or CMMS for planning, preventive maintenance, and parts tracking.
Experience in schedule planning and coordinating material availability with maintenance work.
Ability to support preventive maintenance programs by ensuring required parts and materials are available ahead of scheduled work.
Interest in ongoing training and career growth within maintenance, purchasing, or inventory control.
