Administrative Support To Public Health Laboratory
This full-time, career service position provides administrative support to the Public Health Laboratory. The ideal candidate will have an eye for detail, the ability to perform a wide variety of office duties ranging from performing data entry, creating spreadsheets, reviewing lab reports, triaging telephone calls, submitting billing information, customer service, and data management.
Public Health's Prevention Division protects and promotes the health of the public through controlling the spread of communicable diseases and identifying leading causes of premature death. The King County Public Health laboratory specifically provides lab tests for clinics, disease control programs, and research, we also provide quality assurance for lab testing at public health clinics, and we function as part of larger public health laboratory system.

Work Schedule: Monday through Friday, 8:00 am to 4:30 pm, 40 hours per week, Non-Exempt from the provisions of the Fair Labor Standards Act (FLSA) and overtime eligible.

Job Duties
Provide administrative program support to the PH Laboratory.
Receive lab test orders into the Apollo laboratory information system from the Epic electronic health record system; enter non-Epic lab test orders into Apollo manually; label lab specimens and lab requisition forms with Apollo-generated barcode labels.
Import lab billing data from Apollo into the SIMS invoice management system; process invoices for lab supplies into iProcurement system; receive deliveries of lab specimens and lab supplies.
Format, proofread, and edit letters, reports, laboratory testing procedures and general correspondence.
Organize and maintain electronic and hard copy documents, and other program documents; archive files (including original lab requisition forms) following County guidelines and established procedures and prepare and send out mailings and laboratory reports.
Create, update, and maintain program databases; accurately enter and track data, and prepare and generate reports.
Schedule program meetings and resources; and prepare and distribute materials.
Answer and triage telephone calls; document and route calls appropriately; respond to general questions; and provide accurate program information to internal and external customers.
Submit billing information, which requires knowledge of medical terminology and laboratory testing/billing codes; look up confidential lab test results and give test results to health care providers; and collect lab test fees.
Operate standard office equipment including personal computer, telephone, fax machine, label maker, printers and scanners.
Experience, Qualifications, Knowledge, Skills
Our ideal candidate will demonstrate the following (Minimum):
Demonstrated working experience using a laboratory information system and/or an electronic health record system
Demonstrated working experience using medical terminology related to medical laboratory tests
Demonstrated working experience triaging and documenting confidential telephone communications, and providing program information to internal and external customers
Demonstrated working experience in a medical office
Demonstrated problem solving skills.
Demonstrated experience with automated systems and software applications.
Knowledge of use of lab coat, gloves, etc. when handling lab specimens.
Skilled in working under time constraints and meeting deadlines.
Demonstrated ability to provide excellent customer service with discretion, patience and professionalism, in person and over the phone.
Strong interpersonal, conflict resolution and problem-solving skills.
Demonstrated ability to provide administrative support to multiple sections; evaluate and manage competing demands and ensure office needs are met; prioritize workload while meeting critical deadlines and maintaining accuracy of work.
Demonstrated ability to prepare, format, proofread, and edit documents including correspondence, letters, policies, and reports; create and maintain electronic and hard copy documents and files, databases and logs, and accurately enter and track data. Proficiency in math and basic accounting procedures.
Demonstrated ability to communicate effectively orally and in writing; establish and maintain effective working relationships with a diverse range of staff, community partners, and the general public; handle difficult interpersonal interactions with discretion and diplomacy; and work both independently and as a member of a team.
Demonstrated ability to create, update, and maintain program databases and logs; accurately enter and track date; and generate reports.
Demonstrated ability to work in a Windows environment and use Microsoft products to complete assigned tasks, including: Word for word processing, Excel for spreadsheet creation, maintenance and reports; and Outlook to communicate with clients and staff.
Ability to move up to 25 pounds from one location to another and the ability to repeatedly sit and stand throughout the day.
