Courtroom Deputy Clerk

The Clerk's Office of the United States District Court for the District of Oregon is now accepting applications for the position of Courtroom Deputy Clerk in the Portland Division. As a member of the case management team, the Courtroom Deputy Clerk functions in an administrative capacity managing cases for judges and providing courtroom services.
Representative duties include:
Attending court sessions and conferences. Recording court proceedings using electronic recording equipment (FTR Gold). Managing and organizing exhibits used in court proceedings, including setting up and troubleshooting electronic evidence presentation systems. Assisting with the orderly flow of proceedings including, but not limited to, setting up the courtroom, assuring presence of all necessary participants, and managing exhibits. Taking notes of proceedings, rulings, notices, and preparing minute entries electronically.
Conducting training sessions for litigants and counsel in the use of courtroom technology and initiating and testing the court's digital evidence presentation system (DEPS).
Performing Central Violations Bureau (CVB) clerk duties: preparing, coding, and distributing the CVB calendar. Supporting CVB hearings and trials, responding to correspondence, e-mails, and telephone calls from violators.
Incumbent may have to travel to Pendleton and Bend to administer functions associated with CVB and general magistrate duties for the judge.
Performing data quality control on docket entries of all documents and proceedings on the docket, performing docket functions in CM/ECF, and assisting in case management by ensuring that all automated entries are appropriately linked for proper case management.
Reviewing cases and reports for necessary action. Assisting in the accurate, statistical reporting requirements of the Administrative Office of the United States Court. Docketing orders, pleadings, judgments, and minutes of proceedings as directed by local policy, utilizing applicable automated systems.
Managing cases for judges by calendaring and regulating case movement; monitoring the filing of documents and responses to judicial orders; and setting hearings, trials, and conferences.
Coordinating hearings, scheduling court reporters and interpreters, processing transcripts, arranging for transcriptions, and answering questions from parties and the public regarding obtaining transcripts. Acting as a liaison with the Clerk's Office, the bar, the public, judges, and other governmental agencies to ensure that cases proceed smoothly and efficiently.
May be called upon to perform backup duties for other members of the Clerk's Office (e.g. cashier, financial reconciliation, or intake duties).
Minimum qualifications include a high school diploma or equivalent and one year of specialized experience. Specialized experience includes progressively responsible clerical or administrative experience requiring the regular and recurring application of clerical procedures that demonstrate the ability to apply a body of rules, regulations, directives, or laws and involve the routine use of specialized terminology and automated software and equipment for word processing, data entry, or report generation.
Desired qualifications include a bachelor's degree from an accredited college or university and prior courtroom experience. Candidates must also demonstrate a consistent past employment record, experience in dealing with routine and complex assignments, excellent typing and proofreading skills, a demonstrated ability to think through, analyze, and interpret written communications, ability to prioritize tasks and work assignments, superior oral and written communication skills, superior attention to detail, strong interpersonal skills, and a professional demeanor and appearance appropriate for a law or professional office environment.
