Front Desk Coordinator / Administrative Assistant

Minimum Qualifications
High school diploma or GED
At least 1 year of customer service experience
Basic to intermediate Microsoft Office skills (Outlook, Teams, Email, Calendar)
Strong communication and organizational skills
About the Role
We are seeking a professional and organized Front Desk Coordinator to support a busy county office in Sarasota. This role is the first point of contact for visitors and staff, handling reception duties, service requests, scheduling, and administrative support in a fast-paced environment.
Key Responsibilities
Provide front desk and reception support, including answering phones and greeting visitors
Assist with general inquiries, directions, and routing complex issues to appropriate departments
Process work orders and service requests; enter and maintain data in multiple systems
Manage mail and deliveries (UPS, USPS, FedEx, Amazon), including special handling for legal documents
Coordinate conference room scheduling and meeting logistics using Outlook Calendar
Support fleet carpool scheduling, including issuing vehicle keys and monitoring reservations
Maintain lost and found procedures and communicate with staff regarding unclaimed items
Keep reception and lobby areas organized, stocked, and professional
Prepare mailings and assist with internal communications and signage
Perform end-of-day procedures, including securing materials and updating schedules
Skills & Abilities
Strong customer service skills with a professional, polished demeanor
Ability to multitask and manage a high-volume front desk environment
Comfortable using multiple systems and learning new software quickly
Attention to detail with strong organizational skills
Ability to communicate clearly with the public and internal teams
