Location: 355 Market St Paterson, NJ 07501 The Welcome Coordinator at Oak Street Health plays a crucial role in creating an inclusive and welcoming environment for patients and guests. This position is designed to ensure that every individual who walks through the clinic's doors receives a positive first and last impression. As the face of the clinic, Welcome Coordinators are responsible for maintaining efficient center operations while delivering an unmatched patient experience. They perform a variety of administrative tasks that support the broader team in providing high-quality care and making Oak Street Health a great place to work. Welcome Coordinators are tasked with scheduling patient appointments, managing both inbound and outbound phone calls, and handling various administrative duties such as fax and mail distribution. They are expected to be friendly, flexible, and adaptable to the needs of the patients and the clinic. As part of the Service Team, they report directly to the Practice Manager and focus on creating a seamless experience for patients and community members. The role requires a high level of interaction with patients, ensuring that they receive excellent, high-touch assistance every day. In addition to welcoming patients and conducting visit check-ins, Welcome Coordinators assist patients with required forms, collect co-pays, update patient information in the electronic medical record platform, and manage phone lines. They also maintain the cleanliness of the Welcome and Community Room areas and may occasionally float to other centers in the region as needed. This position is integral to the overall mission of Oak Street Health, which is to provide personalized primary care for older adults on Medicare, focusing on quality care and community engagement.
Responsibilities
Welcoming patients and guests
Conducting visit check-in and assisting patients with required forms
Collecting co-pays
Updating patient information and making changes in electronic medical record platform
Scheduling/rescheduling appointments within electronic medical records platform
Managing phone lines by answering, taking messages, and conducting outbound calls as instructed
Managing faxes in the electronic fax platform
Maintaining the cleanliness of the Welcome and Community Room areas
May be required to float to other centers in the region on an infrequent basis
Other duties as assigned
Requirements
Strong computer skills required and basic knowledge of Google Suite
Professional phone etiquette
Fluency in Spanish preferred
US work authorization
Nice-to-haves
Experience in customer service setting strongly preferred
Some college preferred
