The Fleet Manager is responsible for sustaining positive relationships with all operating locations in their prospective region. The fleet manager will provide directions for all vendors and ensure they provide safe, reliable, and efficient services. Additional responsibilities are to develop continuous improvement fleet management strategies that focus on immediate response and long-term sustainment.
Essential Responsibilities:
Fleet Maintenance Coordination
Manage and oversee all preventive maintenance inspection (PMI) schedules for shuttle and trolley fleet
Coordinate with third-party maintenance vendors to ensure timely service completion
Develop and maintain vendor relationships to secure quality work at competitive rates
Review and approve maintenance invoices and work orders
Digital Inspection Management
Administer Samsara fleet management platform for daily pre-trip and post-trip inspections
Monitor inspection compliance and follow up on driver-reported issues
Analyze inspection data to identify recurring maintenance needs and trends
Ensure all DOT-required inspections are completed on schedule
Compliance & Documentation
Maintain complete and accurate fleet maintenance records
Ensure all vehicles meet Federal Motor Carrier Safety Regulations (FMCSR) requirements
Track and manage vehicle registrations, insurance documentation, and inspection certificates
Coordinate annual DOT inspections and emissions testing
Operational Support
Work closely with operations team to minimize vehicle downtime
Develop contingency plans for vehicle out-of-service situations
Track fleet performance metrics including availability rates and repair costs
Assist with fleet replacement planning and capital budgeting
Vendor Management
Source, vet, and manage relationships with maintenance vendors and service providers
Negotiate service agreements and pricing structures
Monitor vendor performance and service quality
Maintain approved vendor list and contact database
Required Qualifications
3+ years of fleet management or automotive service management experience
Strong understanding of vehicle preventive maintenance programs
Experience with fleet management software (Samsara experience highly preferred)
Transportation or Maintenance Engineering Services experience in a leadership role.
Comprehension and industry experience with commercial vehicle mechanics and systems.
Ability to troubleshoot commercial vehicle mechanical issues.
DOT knowledge and experience in the industry (management experience preferred).
Extensive knowledge of industry vehicle telematics systems and reports.
Financial and business management skills: activity-based management, inventory management and basic accounting management.
Experience with change management (communication/presentation/writing/diversity/etc.).
Hands-on experience with multi-state DOT compliance and inspection processes
Effective partnership, teamwork and client service skills.
Excellent blend of leadership, operations and technology skills.
Ability to mentor and train others to perform essential duties.
Excellent vendor management and negotiation skills
Proficiency with Microsoft Office Suite (Excel, Word, Outlook)
Strong organizational skills and attention to detail
Excellent communication skills, both written and verbal
Valid California driver's license with clean driving record
Valid CDL Class B with a Passenger Endorsement
Must have Air Brake Endorsement
Preferred Qualifications
Experience managing shuttle, transit, or commercial vehicle fleets
Knowledge of DOT/FMCSR regulations
ASE certifications or automotive technical training or knowledge
Experience with alternative fuel vehicles (CNG, electric, hybrid)
Bilingual (English/Spanish) capabilities
Physical Demands:
Ability to lift, push and pull at least 25 pounds
