About the Role

We are seeking a highly organized and detail-oriented Studio Coordinator to support the daily operations of our West Hollywood recording facility. This role works closely with the Director of Studio Operations, assisting with administrative, operational, and client-facing responsibilities across the studio.
Responsibilities

Responsibilities include scheduling sessions within the booking platform, maintaining accurate booking data, reviewing session reports, and preparing invoices for the LA facility. This role also supports maintaining a polished, hospitality-driven studio environment, ensuring all spaces are organized, well-maintained, and guest-ready.
The ideal candidate is proactive, dependable, and detail-oriented, with the ability to manage multiple priorities in a fast-paced environment while maintaining a high standard of professionalism and discretion.
Job Duties & Responsibilities

Administrative & Studio Operations Support

Assist with scheduling studio sessions within the booking platform
Maintain accurate and up-to-date booking data
Review daily session reports and update booking hours
Communicate schedule updates to studio staff as needed
Support engineer scheduling based on session requirements
Correspond professionally with clients, artists, and internal teams
Prepare and issue invoices for the LA facility
Assist with intercompany billing in coordination with A&R and Finance
Assist in preparing weekly occupancy and utilization reports
Provide administrative support to the Director of Studio Operations
Hospitality & Facility Support

Maintain a high standard of presentation across all studio and common areas
Ensure spaces are clean, organized, stocked, and guest-ready
Perform regular walkthroughs to uphold 5-star presentation standards
Support light hospitality needs (refreshments, general client comfort)
Assist with resetting rooms between sessions
Flag maintenance or operational issues impacting the space or client experience
Qualifications

2+ years of experience in a studio assistant, studio coordination, operations, or similar role
Hospitality or client-service experience preferred, particularly in detail-oriented or service-driven environments
Familiarity with invoicing, billing, or accounts receivable processes preferred
Highly organized with a strong attention to detail
Ability to manage multiple priorities in a fast-paced environment
Strong interpersonal and communication skills
Ability to work effectively across diverse teams and personalities
Proficiency in Google Workspace (G-Suite, Gmail)
Working knowledge of Excel and accounting or billing systems
Ability to handle confidential information with discretion
