Job Summary:
We are seeking a detail-oriented and proactive Administrative Assistant to support our operations. This role is responsible for a variety of administrative and coordination tasks that ensure accurate inventory management, efficient communication between departments, and timely completion of essential documentation. The ideal candidate will work closely with the Production Manager, Procurement, and the Operations Manager teams to keep our operations running smoothly.
Key Responsibilities:
Purchasing & Procurement Coordination:
Place orders for maintenance, sanitation, and production supplies as needed.
Track open purchase orders and follow up on receipts.
Collect and organize all receiving paperwork from the warehouse to submit to Accounts Payable
Inventory Management:
Monitor inventory levels and communicate regularly with the procurement department.
Manage inventory transfers to/from our other warehouses.
Record weekly and monthly inventory counts in spreadsheets; investigate and reconcile discrepancies.
Maintain accurate inventory for maintenance parts and supplies.
Complete all related inventory paperwork and forward to HQ in a timely manner.
Production Support:
Collaborate with the Production Manager to review schedules and ensure coordination with inventory and procurement.
Maintain and update the weekly Excel production sheet, highlighting KB orders from HQ.
Keep the shipping board organized and current.
Monitor rolling inventory and coordinate with relevant team members (e.g., Eva).
Administrative Tasks:
Perform various administrative duties as needed to support the operations.
Ensure all delivery paperwork is submitted daily and forwarded to HQ.
Generate and track work orders for the maintenance team; collect and record all relevant documentation.
Qualifications:
Prior experience in an administrative, inventory, or production support role.
Proficient in Microsoft Excel and comfortable managing spreadsheets and inventory data.
Strong organizational skills and attention to detail.
Excellent communication and coordination abilities.
Ability to work independently and collaboratively in a fast-paced environment.
Familiarity with SAP is a plus
