Role Title: Mail Operations Specialist
Location: On-site in Austin, TX
About the Role:
• We are seeking a reliable and organized on-site contractor to manage daily mail processing for our Austin office.
• In this role, you will be responsible for the end-to-end handling of incoming mail, ensuring that physical and digital correspondence is routed accurately and securely to the correct internal departments and external partners.
Key Responsibilities:
• Mail Collection and Sorting: Pick up incoming mail from designated areas and sort it accurately based on recipient and department.
• Internal Distribution: Deliver sorted mail physically to specific individuals and departments across the Austin campus.
• Digital Processing: Scan physical mail and send it via email to the appropriate recipients for remote or paperless handling.
• External Processing: Handle specific payroll-related correspondence, including preparing, mailing, and faxing garnishment documents to ADP.
• Confidentiality: Maintain strict confidentiality and security protocols when handling sensitive payroll and employee documents.
Requirements:
• Must be available to work on-site in Austin, TX for the required schedule of Tuesday, Wednesday, and Thursday (8 hours per day).
• Strong organizational skills and high attention to detail.
• Basic computer and administrative skills, including experience with scanning documents, sending emails, and operating a fax machine.
• Ability to walk and carry mail across the office for internal deliveries.
• High level of integrity and dependability, with the ability to handle sensitive information professionally.
